Including Elements from Templates or Projects

Use

When creating the structure of projects, project templates, or checklist templates, you may want to reuse certain parts of the structure in various projects or templates in order to save maintenance work and ensure that your projects adhere to internal or external standards. You can do this by including individual elements or entire subtrees from the structure of checklist templates, project templates, or operational projects.

Note Note

A project element or checklist element is always included with all its subelements. If you want to include only some elements of a subtree, you need to manually create the root element of the subtree (see Creating Project Elements) and include the lower-level elements individually.

End of the note.

Prerequisites

If your source is a template, this template must not have the status Locked or Obsolete.

The elements to be included and all lower-level elements meet the following requirements:

  • The project element category (for example, phase, task, or checklist) is supported in project structures below the selected target element. For an overview of supported project element categories, see Creating Project Elements.

  • If your target is a project or project template, the project element category is permitted in the project type of the target project or template. You configure project types in Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Structure Next navigation step Define Project Types End of the navigation path. The relevant settings are displayed on the Details screen for the project type in the Project Structuring screen area.

  • If your target is a template, the element category is supported in the template category. For project templates, this rules out mirrored tasks and checklists. For checklist templates, it rules out mirrored tasks, checklists, and checklist references.

Procedure

  1. In the target project or template, access the Detail subview of the Structure view.

  2. In the structure tree, select the project element below which you want to include project elements, and choose Include.

  3. Specify the number of the source project or template, and choose Search.

The structure of the source project or template is displayed.

  4. Select the elements that you want to include.

You can only select elements that are supported below the selected target element. When you select the root element of a subtree, all lower-level elements are selected automatically.

  5. Choose Include Selected Elements.

  6. Save the project or template.

Result

The elements are included below the selected target element. You can now edit the data of the included elements as required. For more information, see:

More Information

You can also copy an entire project (see Copying of Projects), create an entire project from a template (see Creating a Project Definition), or create references to checklist templates in operational projects (see Work with Checklist References).
