Use

Service permissions define which users can execute certain functions that are provided by KM services, such as subscriptions or managing the approval process.

You can only set service permissions for folders.

Caution

After Knowledge Management has been installed, all users have full access by default. Make sure you restrict these permissions.

 

Prerequisites

Service permissions are only available if the serviceacl service has been activated for the repository of the folder in question. The service permissions that are available depend on which services have been registered for the repository. For example, service permissions are only available for subscriptions if the subscription service is active in the configuration of repositories. For more information, see Structure linkRepository Services in the administration guide.

 

You need read permission for the folder in question in order to display its service permissions.

You must be entered in the permission owners list in order to change the permission owners.

Collaboration

You can use this service permission to:

     Delete discussions or discussion posts from other users (see Structure linkDiscussions)

     Delete public comments and feedback created by other users (see Structure linkFeedback).

 

Full Access

This service permission includes all other service permissions.

 

Approver Administration

You can use this service permission to:

     Activate the approval process for a folder

     Define approval steps and the list of approvers for a folder

     Display all documents irrespective of their status

You can also see documents that have not yet been released.

     Skip the approval process

You can publish documents immediately without taking remaining approval steps into consideration (see Publishing with an Approval Process).

 

Layout

You can use this service permission to define the depiction of the folder content for all users (see Folder Content Display).

 

Service Permissions for Subscriptions

There are several service permissions that enable the use of subscriptions to varying extents (see the table below).

You can use the Subscription only for user and Create subscription permissions to create subscriptions for documents and folders. If you create a subscription for a folder, the system sends notifications for new, changed, or deleted documents in this folder, but not in subfolders.

You can use the Subscription (full access) permission to create subscriptions for folder hierarchies. In this case, the system also sends notifications for new, changed, and deleted documents in subfolders.

Recommendation

You should take care when assigning the Subscription (full access) permission, as subscriptions to folder hierarchies can generate a large number of notifications.

 

Activities

To set the service permissions for an item, choose Settings ® Service Permissions from the Details dialog box.
