Exporting Proposal PoolsLocate this document in the navigation structure

Use

You should export the proposal pool in the following situations:

  • You have created proposals while translating short texts in system ABC. Now translation is to start in system DEF. You can save time and money and ensure consistent translations across your systems, if you export the proposal pool(s) from ABC and import them to system DEF.

  • You intend to upgrade your translation system. In this case you should make a backup of all proposal pools by exporting them. For more information, see SAP Note 1055820 in the SAP Online Service System. This note also contains information on how to convert the proposal pool if the upgrade is a large "jump" (for example, from Basis 4.6C to Basis 7.00).

Here is an explanation of two key concepts when exporting proposal pools:

  • Source system : The system from which you export a proposal pool.

  • Target system : The system to which you import a proposal pool.

Prerequisites
  • Proposals must exist in the source system for the source language and target language combination for which you want to export the proposal pool.

You can check whether proposals exist for a specific source language and target language combination as follows on systems running on Basis Release 6.20 and higher:

    1. In the source system, call transaction SE16, enter LXE_PP___1 in the Table Name field and choose Enter .

    2. Enter the 4-character language ID for the target language in the T_LANG field (for example, enUS for English).

    3. Enter the 4-character language ID for the source language in the S_LANG field (for example, deDE for German).

    4. Choose Number of Entries .

The system displays how many proposals are stored in this proposal pool table. If this number is 0, then this is a good indicator that no proposals exist for this source language and target language combination.

      Note

Table LXE_PP___1 is only one of 6 tables that store the proposals, so this number is no indicator as to the actual size of the proposal pool for this source language and target language combination.

  • You need pinpoint a directory to which you want to export the proposal pool(s). You could use the transport directory of the source system. Alternatively you could a directory on a server that the source system can access. Ideally, the target system can also access the directory to which you export the proposal pool(s). Otherwise, you will have to copy the proposal pool file(s) to a directory that the target system can access.

  • If you want to only want to export the proposals for the source texts that appear in objects in a specific object list , then the object list must exist. For more information, see Creating Object Lists .

Procedure

There are two different procedures for exporting the proposal pool, depending on whether you want to export the proposal pool according to the objects in an object list or not.

To export only the proposals used in the translation of the source texts that appear in the objects contained in a specific object list, proceed as follows:

  1. In the source system, call up transaction LXE_MASTER and choose Start of the navigation path Transport Next navigation step Proposal Pool Next navigation step Export According to Object List End of the navigation path.

The Proposal Pool Export According to Object List screen appears.

  2. Enter the 4-character language ID for the source language in the Source Language field (for example, deDE for German). You can use the input help (F4) on this field and the field in the next step.

  3. Enter the 4-character language ID for the target language in the Target Language field (for example, enUS for English).

  4. In the Directory field, enter the name of the directory to which you want to export the proposal pool.

  5. In the File Name field, enter the name of the file to which the proposal pool is to be exported.

    Note

We recommend that you use meaningful names for your proposal pool export files, so that you can easily recognize the source language, target language, and source system of the proposal pool file. For example:

    • P_deDE_enUS.ABC is a proposal pool for source language German and target language English from source system ABC.

    • P_enUS_jaJP.DEF is a proposal pool for source language English and target language Japanese from source system DEF.

  6. If the target system for this proposal pool transport is running on Basis Release 6.40 or lower, enter an X in the Old Language Keys field, so that the 2-character language IDs are used. If the target system for this proposal pool transport is running on Basis 7.00 or higher, leave this field blank.

  7. Choose F4 on the Object List field and double-click the object list that you want to use as the basis for this export.

    Note

It is not possible to select more than one object list here. If you want to use the objects in several object lists as the basis for the proposal pool export, you need to merge them first.

  8. In addition to exporting the proposals used as the translations of the source texts in the objects in the object list, you can also export the best proposals for these source texts, in the cases where a proposal other than the best proposal is used to translate the source text. To do this, place an X in the Add best Proposal field.

  9. Make sure that the Start in Background field contains an X and choose Execute to schedule this job to run in the background.

  10. Repeat this procedure for the next source language and target language combination for which you want to export the proposal pool.

To perform a proposal pool export that is not based on the objects in an object list, proceed as follows:

  1. Call transaction LXE_MASTER and choose Start of the navigation path Transport Next navigation step Proposal Pool Next navigation step Export End of the navigation path.

The Proposal Pool Export screen appears.

  7. If you want to export the complete proposal pool for this source language and target language combination, you can leave the default settings unchanged and proceed to step 10 of this procedure.

  8. If you want to export only those proposals that were created or changed since a specific date, then enter this date in the Change Date (From) field.

  9. If you want to export only those proposals that have a specific minimum quality status , then proceed as follows:

    • To export only proposals with status A, enter 90 in the Quality Status (From) field.

    • To export only proposals with status S or higher, enter 60 in the Quality Status (From) field.

  10. Make sure that the Start in Background field contains an X and choose Execute to schedule this job to run in the background.

  11. Repeat this procedure for the next source language and target language combination for which you want to export the proposal pool.

Result

The system creates an export file that contains the proposals that satisfy the criteria you specified.

Refer to the spool to see how many proposals have been exported.

Example

Source Language:

deDE

Target Language:

enUS

PP

2.058

PPA

40

PPX

5

This means that the following proposals for source language German and target language English have been exported:

  • 2.058 system standards/application standards

  • 40 abbreviations

  • 5 exceptions

Obviously, if the spool shows that 0 proposals were exported, then no proposals existed that matched your export criteria.

As long as proposals were exported, you can now import this proposal pool to the target system. For more information, see Importing Proposal Pools .
