Procedure documentation Creating Forward Orders Locate the document in its SAP Library structure

Use

You can create both single / individual forward orders and collective forward orders, provided you have the required authorization. For information about managing authorizations, see the Authorization Administration section of SAP Library.

Prerequisites

·        If you wish to create a collective forward order, you must first have set the Several Recipients Permitted indicator in the Account Management (FS-AM) Customizing settings for the respective transaction type.

·        You must have created the media/payment methods that are available to you when you create a forward order by choosing Item Management ® Basic Functions® Maintain Media/Payment Methods in the Account Management (FS-AM) Customizing settings.

·        You must have created the transaction types that are available to you when you create a forward order by choosing Item Management ® Basic Functions® Transaction Types and Transaction Type Groups ® Maintain and Assign Transaction Types for Payment Items for online entry of forward orders in the Account Management (FS-AM) Customizing settings.

·        Additionally, if you choose Item Management ® Basic Functions ® Set Default Values in the Customizing for Account Management (FS-AM), you can define which medium, payment method and transaction type you want preset by the system.

·        You must first create the transaction types for which you wish to enter a forward order in online mode or via the BAPI in the Customizing for Account Management (FS-AM) by choosing Order Management ® Forward Order ® Assign Transaction Types ® Assign Transaction Types (Online) or Assign Transaction Types (Internal Processes).

·        If you wish to levy a charge for the creation of a forward order and/or the correspondence related to it, you must have created corresponding standard conditions. You do this from the SAP Easy Access screen by choosing Account Management  ® Current Settings  ® Financial Conditions  Condition Group  ® Edit Condition Group. If you want to calculate a different charge for ONE account, you must have set this as individual condition on the Financial Conditions tab page of the account in question. ·        Another prerequisite for the calculation of charges is the definition of a condition type for the charge you want to use. In the Account Management (FS-AM) Implementation Guide, choose Product Management® Financial Conditions ® Define Condition Type. In addition, in the Customizing for payment orders you must create a charge key by choosing Order Management ® Payment Order ® Create Charge Key.        1.      From the SAP Easy Access screen, choose Account Management ® Payment Transaction Orders ® Forward Order ® Create Forward Order.

       2.      Specify the date on which you want the system to post the forward order.

Note

The date in the Execution On field must be after the posting date for payment transactions.

       3.      Choose the transaction type.

       4.      Enter the required account identification data for the ordering party. This depends on the Customizing settings for Account Management (FS-AM) made under Contract Management ® Account ® Define Account Identification.

Note

Remember that the ordering party account must always be managed in the Account Management system.

       5.      Choose the medium by which the order came to your bank and the payment method you want to use to execute the payment transaction.

       6.      Specify the amount.

       7.      Enter the recipient data. As soon as you start processing, the system automatically checks the check digit of the account number(s) entered here. Prerequisite for this are the relevant Customizing settings for the check digit procedure, made in the Account Management (FS-AM) Implementation Guide by choosing Contract Management ® Account ® Account Number ® Check Digit Calculation Methods. If you wish to deactivate the check digit method, deactivate the corresponding checkbox as well.

If you select a payment method that you have labeled as Payment Form Payment Method in IMG activity Maintain Media / Payment Method, you must specify the address data of a bank check recipient instead of the account identification. Do this by choosing one of the three following options:

¡        Choose the Correspondence Recipient indicator to identify the correspondence recipient of the account as recipient of the bank check.

¡        Specify the number of the business partner who you want to receive the bank check.

¡        Choose the To Different Address pushbutton and specify the address of the recipient.

Note

Note that all recipient banks must be listed in the Bank Directory. If you have made the country-specific settings in the SAP Implementation Guide under General Settings ® Set Countries ® Set Country-Specific Checks, the system checks whether the bank key you have entered corresponds to the country-specific norms regarding the length of a bank key.

Note

For information about the Confirmation of Execution and Free of Charge indicators in the Ordering Party group box on tab page Ordering Party Details, see the Creating Payment Orders section in the SAP Library.

Note

If you also wish to enter a value date for the ordering party or recipient, enter this on the Ordering Party Details and Recipient Details tab pages.

Note

If you wish to charge the ordering party for creating the forward order, activate the Charge for Creation indicator in group box Charges and Correspondence.

Note

If you wish to create correspondence for the ordering party for creating a forward order, activate the Create Correspondence indicator in group box Charges and Correspondence.

You can activate this indicator as default setting in the Customizing for Account Management (FS-AM). Choose Order Management ® Forward Order ® Assign Transaction Types ® Account Transaction Types (Online).

To create this correspondence for the customer free of charge, activate the Free of Charge checkbox in group box Charges and Correspondence. This indicator is only ready for input if the calculation of charges is preset in the Customizing for Account Management (FS-AM). (Order Management.® Forward Order ® Assign Transaction Types ® Assign Transaction Types (Online)).

       8.      Save the forward order.

Result

The system creates the forward order and executes it in the context of end-of-day processing on the execution date. If release is required, the system does not create the order until it is released.

Note

If you wish to post the forward order before the execution date, call up transaction Posting Forward Orders Before the Execution Date.
