You can use this function to trigger an approval process for quotations. A supervisor checks and views the quotation and then approves or rejects it.

You can also have the system process quotations without requiring a supervisor to approve them. You must manually enable this process in Customizing. For more information, see Workflow for Automatically Releasing Quotations.

Prerequisites

  1. You have activated the workflow template WS 10000279 (CRM: Release of Quotations), this controls the release of the quotations.

  2. You use the status profile CRMQUOTE, delivered in the default Customizing. This status profile contains an assignment of the user status for this approval process (For Release), for the linked business process (FREL). The system can then set the system status I1157 (For Release).

    If you want to use your own user status, you must assign the process FREL (For Release: Set) to this user status, in the status profile.

  3. You have assigned the status profile CRMQUOTE to the transaction type with which you create quotations.

    If no status profile is assigned to the transaction type, only the system status is displayed and the dropdown box for the Status field in the quotation does not contain the system status I1157 (Description: For Release). This system status is displayed in the dropdown box only if you have assigned a status profile that contains this user status with a corresponding assignment to the business process FREL, to the transaction type.

    Note Note

    If you want to use the approval process in the transaction type AG (quotation), delivered as standard, you must assign the status profile CRMQUOTE to this transaction type.

Features

If you save a quotation with the user status For Release, the supervisor (for example, the head of department) receives a workflow task in the worklist and is thereby informed that he or she needs to view and check a quotation. If the release is rejected by the supervisor, the quotation must be changed or canceled. If the quotation is released, it can be processed further.
