Correspondence Recipient Administration
Contract element that enables the administration of correspondence recipients and their attributes for the contract specializations Account
, Card
, and Card Pool
for the creation of correspondence.
The recipients and recipient groups entered on the Correspondence Recipient
tab page form the basis for the determination of correspondence recipients during the correspondence creation run. For more information, see Correspondence Recipient Determination.

In Customizing for Account Management, you can create recipient groups.

The functions of the recipient groups are only available to you for the correspondence type Bank Statement

During the correspondence creation run, the system determines the recipient or recipients for the correspondence you want generated on the basis of the details you enter. Two reports are available for this.
On the Correspondence Recipient
tab page, you manage all the correspondence recipients and recipient groups you want to receive correspondence. The system enters the contract holder automatically.
If you have not entered an always alternative correspondence recipient or a single correspondence recipient, the system automatically selects the primary correspondence recipient. This one then receives the originals of all correspondence created. You can only specify one business partner as primary correspondence recipient for each contract of a contract specialization.
Prerequisite: You must have created the business partner in the role of correspondence recipient using the Edit Business Partner
transaction.
In addition to the single correspondence recipient, you can also enter the always alternative correspondence recipient as an alternative to the primary correspondence recipient. You can create exactly one always alternative correspondence recipient for each contract. This one then replaces the primary correspondence recipient and receives the originals of all correspondence created, unless you have entered a different single correspondence recipient.
Prerequisite: You must have created the business partner in the role of correspondence recipient using the Edit Business Partner
transaction.
The system distinguishes between the following control attributes that are assigned to the primary or the always alternative correspondence recipient. The system provides these during the correspondence recipient determination for the creation of correspondence.
Correspondence variant
A correspondence variant enables you to define a dispatch method for the correspondence. During the correspondence creation run, the system evaluates the control parameters stored by means of the correspondence variant.
Correspondence role
Using a correspondence role, you can design the correspondence being created in the shape of application forms, and determine the address type of the correspondence recipient. During the correspondence creation run, the system evaluates the control parameters stored by means of the correspondence role.
You can specify as many single correspondence recipients as you like. We distinguish between the following types:
Alternative single correspondence recipient
The alternative single correspondence recipient receives the original correspondence of a certain correspondence type. This is then not sent to the primary or always alternative correspondence recipient. A single correspondence recipient becomes an alternative single correspondence recipient if you assign the document type Original
to it.
Note
For each correspondence type and recipient group there can only be one alternative single correspondence recipient. An exception to this is the correspondence type Bank Statement. For more information, see the Recipient Group
section in this documentation.
Additional single correspondence recipient
The additional single correspondence recipient is another correspondence recipient that you can enter in addition to all the other correspondence recipients. This one then always receives a duplicate of the correspondence created for a correspondence type. A single correspondence recipient becomes an alternative single correspondence recipient if you assign the document type Duplicate
to it.
Note
For each contract you can enter no additional single correspondence recipients or as many as you like.
Note
The primary and always alternative correspondence recipient always receive an original. Exception: There is an alternative single correspondence recipient for a correspondence type.
Additional single correspondence recipients always receive a duplicate.
This indicator governs whether the respective correspondence recipient receives an original or a duplicate. The original is the first version of a document and is created exactly once. It is sent to one correspondence recipient only. The duplicate is a copy or the nth version of an original It can be sent to any number of correspondence recipients.
If there are business reasons for sending originals and duplicates of correspondence of a correspondence type to different correspondence recipients, you can group these different correspondence recipients together in correspondence recipient groups. An example of this is the correspondence for the different agreements for the correspondence type Bank Statement
.
A correspondence recipient group always consists of one recipient of the original and 0-n recipients of duplicates.

Example
The standard recipient group for the correspondence type Bank Statement
is the correspondence recipient group of the binding bank statement agreement
.
There is a standard recipient group supplied by SAP that automatically consists of the primary correspondence recipient and, if existent, the always alternative correspondence recipient. In this way, the system ensures that a recipient always receives the original of all correspondence created.
Single correspondence recipients belong to the standard recipient group if you enter single correspondence recipients in Correspondence Recipient Administration and leave the recipient group area empty. You do not have to make any Customizing settings for the standard recipient group.
If you wish to make more recipient groups available in addition to the standard recipient group, create these in Customizing for Financial Services under and assign them to the required correspondence type. Then the system offers them to you for selection in the respective application (such as bank statement) and in Correspondence Recipient Administration when you are editing the single correspondence recipients.
The correspondence recipient determination is part of the correspondence creation run.
To use correspondence recipient determination you must have entered the required data on the Correspondence Recipient
tab page of the contract specialization.

The following examples from the world of banking demonstrate the various options of Correspondence Recipient Administration for the contract specialization account.

Example 1
The account holder (grandson) is not entered as primary correspondence recipient as he is not legally competent due to his age. For this reason, he is not authorized to to place orders regarding his account with the bank. He was therefore created in the business partner role Account Holder
, but not in the business partner role Correspondence Recipient
. For all the business transactions on the account, the grandmother receives all the correspondence (original) as always alternative correspondence recipient. In addition, all the correspondence is also sent as duplicates to the parents of the account holder.
Example 2
The account holder is entered as primary correspondence recipient. Since no always alternative correspondence recipient is entered. the account holder receives the original of all correspondence. The tax consultant receives a duplicate of the bank statement, but no duplicates of the general correspondence.
Example 3
The account holder is company XY. The accounting department is entered as always alternative correspondence recipient. All the correspondence for the checking account is sent there as no further single correspondence recipients are specified.
