In the effective cash pooling process, the rules determine how and how much is to be cleared between the main account and the subaccounts of a main master contract.

 

When you edit the main master contract for effective cash pooling, you can assign a participant with one or more cash pooling agreements, and one or more cash pooling rules. The cash pooling method selected for the main master contract and the rule restrictions defined in Customizing are examples of what determine the rules that you can choose (see also the section called Integration).

The system processes the rules according to the priority that you defined in Customizing. During processing, the system does not generate any postings. Instead, it calculates only individual transfer amounts. The clearing amount that the system calculates after it has processed all the rules is the only clearing amount that the system transfers from the main account to the subaccount, or the other way around. The Cash Pooling Run function provides you with an individual evaluation that you can use to check the rule processing. For more information, see Displaying Cash Pooling Runs.

The following rules are available:

  • SAP0011000 (Surplus Clearing)

    You can use this rule for zero balancing: If the subaccount has a credit balance, this balance is transferred from the subaccount to the main account. This rule is a basic rule that is recommended for use with all cash pooling methods except the ITEM and FIX methods.

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0012000 (Deficit Clearing)

    You can use this rule for zero balancing: If the subaccount has a debit balance, this balance is transferred from the main account to the subaccount. This rule is a basic rule that is recommended for use with all cash pooling methods except the ITEM and FIX methods.

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0021000 (Percentage for Surplus Clearing)

    You can use this rule as follows: If the subaccount has a credit balance and a previous rule has generated a transfer amount, the system transfers a percentage share of this balance from the subaccount to the main account.

    The rule has the following attribute: Clearing Percentage

    If the system uses this rule when you run effective cash pooling, the system changes transfer amounts calculated previously, and can thus use this rule for surplus clearing, for example.

  • SAP0031000 (Group Creation)

    You can use this rule as follows: You can use the rule attributes to group subaccounts. In these groups the subaccounts can supply funds or balances. The system calculates the total balances of all balance suppliers in a group. The clearing takes place between the main account and the funds supplier.

    The rule has the following attributes: Group Number, Balance Supplier, Funds Supplier

    If the system uses this rule when you run effective cash pooling, the system calculates a new transfer amount using the old transfer amounts of the defined groups, and deletes the transfer amounts calculated so far.

  • SAP0036000 (Basis Amount on Subaccount)

    You can use this rule as follows: The transfer amount is so high that the subaccount has a minimum of the balance defined over and above the base amount.

    If the account balance is lower than the base amount after the system has processed all previous rules, the system generates a new transfer amount for the difference amount, to be transferred from the main account to the subaccount.

    The rule has the following attributes: Amount, Currency

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0041000 (Check Against Posting Balance)

    You can use this rule if you have selected a method that is based on a value date balance (BVP, BVPF, BVK, or BCK). If the calculated value date-based balance of a participant account differs from its posting date-based balance, the system uses the posting date-based balance for clearing.

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, the system deletes the transfer amounts already calculated.

  • SAP0042000 (Minimum Amount for Surplus Clearing)

    You can use this rule as follows: You can use the rule attributes to specify the minimum amount for surplus clearing. If the clearing amount calculated by the system is less than the minimum amount, then clearing from the subaccount to the main account does not take place.

    The rule has the following attributes: Minimum Amount, Currency

    If the system uses this rule when you run effective cash pooling, the system deletes the transfer amounts already calculated.

  • SAP0043000 (Maximum Amount for Surplus Clearing)

    You can use this rule as follows: You can use the rule attributes to specify the maximum amount for surplus clearing. If the clearing amount calculated by the system is more than the maximum amount, only the maximum amount is transferred from the subaccount to the main account.

    The rule has the following attributes: Maximum Amount, Currency

    If this rule is used when you run effective cash pooling, the system changes any transfer amounts already created.

  • SAP0044000 (Minimum Amount for Deficit Clearing)

    You can use this rule as follows: You can use the rule attributes to specify the minimum amount for deficit clearing. If the deficit clearing amount calculated by the system is less than the minimum amount, then clearing from the main account to the subaccount does not take place.

    The rule has the following attributes: Minimum Amount, Currency

    If the system uses this rule when you run effective cash pooling, the system deletes the transfer amounts already calculated.

  • SAP0045000 (Maximum Amount for Deficit Clearing)

    You can use this rule as follows: You can use the rule attributes to specify the maximum amount for deficit clearing. If the deficit clearing amount calculated by the system is more than the maximum amount, only the maximum amount is transferred from the main account to the subaccount.

    The rule has the following attributes: Maximum Amount, Currency

    If this rule is used when you run effective cash pooling, the system changes any transfer amounts already created.

  • SAP0046000 (Surplus Clearing Only)

    You can use this rule to ensure that the system moves only transfer amounts calculated as a result of the previous rules from the subaccount to the main account.

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, it deletes all the transfer amounts already calculated and moved from the main account to the subaccount.

  • SAP0047000 (Minimum clearing amount for main account)

    You can use this rule as follows: You can use the rule attributes to specify a minimum amount that is to be reached so that the system transfers funds to the main account.

    The rule has the following attribute: Minimum clearing amount

    If this rule is used when you run effective cash pooling, the system checks the subaccount balance. To determine the balance, the system uses the total of all clearing runs executed for the subaccount, including the current cash pooling run. The system calculates the balances for each value date. Depending on the selected cash pooling method, the system also includes value dates in the past.

    Note Note

    The system includes all cash pooling runs since the activation of the rule for this combination of master contract, participant account, and cash pooling agreement. If there were clearing runs to the main account for the current cash pooling agreement, but before the rule was active, the system includes these amounts too. If you remove the participant account from the master contract, or delete the agreement, the system deletes the historical data.

    If calculated balance is less than the value defined in the attribute Minimum Clearing Amount for the Main Account, the system does not run any of the clearing runs determined from the old rules of the current cash pooling run. Instead, it creates a new clearing run to transfer the amounts already transferred from the subaccount to the main account back to the subaccount. This reduces the transfer from the subaccount to the main account to zero.

    Caution Caution

    If, however, the participant account and the main account have different currencies, we cannot guarantee that the reduction results in exactly zero. This is particularly the case if there are exchange rate fluctuations between the currencies involved, or if you do not use the middle rate for the currency translation.

    End of the caution.

    If the calculated balance exceeds the value defined in the attribute Minimum Clearing Amount for Main Account, the system does not change any clearing runs previously calculated.

  • SAP0051000 (Constant Balance on Subaccount)

    You can use this rule as follows: You can use the rule attributes to specify a balance that is to be kept constant on a subaccount.

    To be able to use this rule, you also need to use the rule SAP0011000 (Surplus Clearing) and SAP0012000 (Deficit Clearing).

    The rule has the following attributes: Constant Balance, Currency

    If the system uses this rule when you run effective cash pooling, the system calculates a new transfer amount for the specified balance amount.

  • SAP0052000 (Fixed Target Balance on Subaccount)

    You can use this rule as follows: You can use the rule attributes to define a fixed target balance. The system moves the transfer amount from the subaccount to the main account in such a way that this target balance is on the subaccount (current posting date and value date of the next working day).

    The rule has the following attributes: Target Balance, Currency

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0053000 (Fixed Amount for Surplus Clearing)

    You can use this rule as follows: You can use the rule attributes to specify a fixed amount that is transferred from the subaccount to the main account.

    The rule has the following attributes: Fixed Amount, Currency

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0061000 (Total Balance Replenishment (Current Posting Date))

    You can use this rule as follows: The system executes a replenishment for a transfer amount, using the current posting date and value date of the next day. If the system used the transfer amount to transfer future balances, the system uses the original value date for the replenishment. Depending on the period, clearing can take place more than once for this rule.

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0062000 (Total Balance Replenishment (Future Posting Date))

    You can use this rule as follows: The system executes a replenishment for a transfer amount, using the posting date and value date of the next day. If the transfer amount was used to transfer future balances, the system uses the posting date of the next day and the original value date for the replenishment. Depending on the period, clearing can take place more than once for this rule.

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0066000 (Replenishment for Unavailable Transfer Amounts)

    You can use this rule as follows: If the system transferred an unavailable amount by means of another rule (for example, check presentation) from the subaccount to the main account, the system replenishes the subaccount with the unavailable amount from the main account (Subject-to-Final-Payment Balances).

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, the system calculates a new amount.

  • SAP0071000 (Threshold Amount Based on Value Date-Based Balance)

    You can use this rule as follows: You can use the rule attributes to set up threshold values for the value date-based balance. Clearing does not take place until this threshold value has been reached.

    The rule has the following attributes:

    • Minimum, positive amount, indicator: Minimum.

    • Maximum, positive amount, indicator: Maximum.

    • Currency, no value dates in the past

    If the system uses this rule when you run effective cash pooling, the system deletes the transfer amounts already calculated.

  • SAP0072000 (Threshold Amount Based on Posting Balance)

    You can use this rule as follows: You can use the rule attributes to set up threshold values for the posting date-based balance. Clearing does not take place until this threshold value has been reached.

    The rule has the following attributes:

    • Minimum, positive amount, indicator: Minimum.

    • Maximum, positive amount, indicator: Maximum.

    • Currency, no value dates in the past

    If the system uses this rule when you run effective cash pooling, the system deletes the transfer amounts already calculated.

  • SAP0073000 (Check Against the Minimum Balance or Limit)

    You can use this rule as follows: You can use these rule attributes to specify whether the system is to run a check against the limit or the minimum balance of the main account.

    Settings for the main account:

    • The system refers to the limits defined on the main account when it runs the limit check. The Customizing settings for this account determine whether this limit is the tolerated overdraft limit or the committed limit.

      If this indicator is set, the system starts by transferring all credit balances of the participant accounts, after which it transfers the debit balances in the order of priority (see below), providing the balance of the main account does not fall below the limit or the minimum balance.

    • In the balance check, the system refers to the minimum amount defined in the rule attributes for the balance of the main account. The Positive Amount indicator determines the plus/minus sign of the minimum amount (if indicator is set: Amount is positive; If indicator is not set: Amount is negative)

    • You can set the Include Priority indicator for both checks.

      If this indicator is not set, the system behaves as follows:

      • If the total balance of the credit and debit balances of all affected subaccounts does not fall below the minimum balance, all clearing runs take place.

      • If the total balance of the credit and debit balances of all affected subaccounts does fall below the minimum balance, clearing does not take place.

    Settings for the subaccounts:

    • You can use the rule attributes to assign a priority for each subaccount. This priority determines the sequence in which the system processes the accounts if the Include Priority indicator is set on the main account.

    The rule has the following attributes:

    • Main account:

      • Type of check (limit or minimum balance)

      • Include priority of participant accounts

      • Minimum Amount

      • Positive Amount

      • Currency

    • Subaccount:

      • Participant Priority

    Note Note

    To use this rule, you need to define it in all participants of the main master contract.

If the system uses this rule when you run effective cash pooling, the system deletes the transfer amounts already calculated.

  • SAP0081000 (Grouping of Identical Value Dates)

    You can use this rule as follows: The balances of a value date are transferred in a group rather than individually. This means that only one position needs to be shown on the bank statement.

    The rule does not have any attributes.

    If the system uses this rule when you run effective cash pooling, the system calculates a new transfer amount using the old transfer amounts with the same value dates from the defined groups, and deletes the transfer amounts calculated so far.

  • SAP0090000 (Line Item Clearing)

    You can use this rule as follows: The system does not transfer balances, but the individual items of a participating account.

    The rule has the following attribute: Clear Remaining Balance

    Note Note

    If you activate the attribute, you must make sure that the system does not make parallel account postings to the subaccounts of the master contract. For example, you can use the transaction Create PLM Documents to set the corresponding posting locks.   • SAP0091000 (Payment Notes)

    You can use this rule as follows: You can use the rule attributes to define payment notes that the system transfers with all the clearing runs. This can be done, for example, to describe the clearing runs on the bank statement with the note Effective Cash Pooling.

    The rule has the following attribute: Payment Notes

    If the system uses this rule when you run effective cash pooling, it changes the text of transfer amounts already calculated.

Example

A main account and a subaccount are participants on a master contract. A cash pooling agreement has been defined in the master contract with the following settings:

  • BCK Method (balance-based, posting balance without amounts subject to final payment, key date-based)

  • Cash pooling rules have not been defined for the main account

  • The following cash pooling rules have been defined for the subaccount:

    • SAP0011000 (Surplus Clearing) - Priority 11000

    • SAP0012000 (Deficit Clearing) - Priority 12000

    • SAP0021000 (Percentage for Surplus Clearing) - Priority 21000

      The percentage defined is 90%

    • SAP0036000 (Basis Amount on Subaccount) - Priority 36000

      The defined base amount is EUR 400

    • SAP0081000 (Grouping of Identical Value Dates) - Priority 40000

    • SAP0043000 (Maximum Amount for Surplus Clearing) - Priority 43000

      The defined maximum amount is EUR 100

    • SAP0091000 (Payment Notes) - Priority 91000

      The payment note text that has been defined reads EXAMPLE.

The subaccount balance is EUR 1,000 You run effective cash pooling for the master contract. Once the system has processed all the rules, it transfers EUR 100 from the subaccount to the main account.

You choose Display Cash Pooling Run and the system displays the following results of the individual evaluation:

  • Rule SAP0011000(Surplus Clearing):

    The system calculates a clearing amount of EUR 1,000 (clears the entire balance of the subaccount).

  • SAP0021000 (Percentage for Surplus Clearing)

    The system changes the old clearing amount to EUR 900 (90% of the calculated EUR 1,000).

  • Rule SAP0036000 (Basis Amount on Subaccount)

    The system calculates a clearing amount of EUR -300 so that another EUR 300 remains on the subaccount in addition to the EUR 100.

  • Rule SAP0081000 (Grouping of Identical Value Dates)

    The system groups the clearing amounts of EUR 900 and EUR -300, and calculates a new clearing amount of EUR 600, and then deletes the clearing amounts previously calculated.

  • Rule SAP0043000(Maximum Amount for Surplus Clearing)

    The system changes the old clearing amount to EUR 100 since this was defined as the maximum amount for the surplus clearing.

  • Rule SAP0091000 (Payment Notes)

    The system changes the payment notes of the calculated clearing to EXAMPLE.

The system transfers the end result of EUR 100 of the cash pooling run from the subaccount to the main account, and assigns the posting with the EXAMPLE payment notes.

Rule SAP0012000 (Deficit Clearing) is not used because the subaccount does not have a negative balance.
