Central Access to Tasks
You implement this scenario variant so that users can access tasks centrally through Universal Worklist (UWL). This enables simple and centralized access to SAP tasks, alert tasks and structured and unstructured process tasks.
Through Collaboration Task, users can easily create their own processes without any prior experience with workflow systems.
The UWL simplifies the user’s work by providing a single interface that is easy to access and use single consistent interface. The UWL:
· Provides users with a unified and centralized point of access to their work and relevant information. Users do not have to search for their work.
● Aggregates task items from multiple and different systems into one list. The different systems from which information is fetched, includes:
¡ SAP Business Workflow
¡ Collaboration Tasks
¡ Alert Management System
● Provides custom worklists which enable specific views for specific tasks
● Enables users to take direct decisions and actions
● Allows users to personalize appearance to suit their individual working styles
● Can function as an application-specific inbox – applications can bypass having to implement their own inbox
Using Collaboration Tasks:
● Gives users the power to deal with quickly-changing business conditions. Users use Collaboration Tasks to collaborate spontaneously without needing to wait for company-wide business process change.
● Makes it easy to define one-time processes. The minimal effort required means that users will use Collaboration Tasks to deal with many one-time situations.
● Allows users to check the status of processes they have created and ensure that work is completed on time
● Allows users to link new processes to work items they receive. This provides them with an easy way to perform and track additional work that may be required in response to a work request.
● Enterprise Portal (EP)
● Application Server Java (AS)
IT Process |
Description |
A process is triggered using the business application. This trigger spawns a workflow. The workflow generates a task and routes this to the appropriate people. |
|
The user then selects the task. If the user requires assistance with the task, they can initiate a collaboration task and assign the task to the appropriate people. When the collaboration task begins, a link is created to the originating workflow. |
|
The collaboration task(s) are then executed until the collaboration is completed. The history of the collaboration process is combined with the history of the originating workflow process. |
|
The related workflow task is then completed |
● Process transparency to all process participants across all levels of granularity
● Minimal TCO because of ease of deployment
● Less user training is required due to a single interface for all SAP tasks, regardless of the application
● Implementation is accelerated and costs reduced by enabling a rapid development approach:
○ Core process automation implemented by the IT department delivering tasks and context to the work force
○ Collaborative tasks for individual control at the lowest level of granularity
