Caution

The following applies to time-dependent courses.

Use

This function lets you create a course and reserve the resources that are required for it.

Prerequisites

The relationship requires resource type must be maintained for the corresponding course type. If it is not, you can only create a course without resources.

Procedure

  1. On the SAP Easy Access screen, in the SAP Menu choose Human Resources ® SAP Learning Solution ® Courses ® Dates ® Create ® With Resources. The Create Course with Resources: Initial Screen appears.
  2. Enter the course type for which you want to create a course.
  3. Note

    If you call the function from the dynamic course menu, the relevant data is read simply by positioning the cursor on the course type. The course type is already selected on the initial screen.

  4. Enter the planning period as appropriate. You can change the period later on the data screen if required.
  5. Choose This graphic is explained in the accompanying text data screen. The Create Course with Resources: Data Screen appears. The system automatically completes the fields with data of the course type.
  6. Note

    The system automatically assigns the attribute internal since you can only reserve resources for internal courses.

  7. Specify whether you want to create the course in status Planned or Firmly bkd and locked.

  9. Enter a course location.
  10. Enter a language.
  11. Assign a schedule to the course. To do so, choose either This graphic is explained in the accompanying text Copy to transfer the schedule defined for the course type or This graphic is explained in the accompanying text Create to define your own schedule.

    Note

    If the course type does not have a schedule, a dialog box appears where you can create your own schedule.

    If one or more schedules have been defined for the course type, a dialog box appears displaying the existing schedules for selection.

    Once you have copied or created a schedule, you can check or change it by choosing This graphic is explained in the accompanying text Display or This graphic is explained in the accompanying text Change under Schedule.

  13. Enter all other data you require for your course on the data screen. That is, data that you do not want to transfer from the course type or that was not maintained for the course type.
  14. Caution

    Refer to the information contained for the individual infotypes under the section Structure in Course Type.

  15. Choose Resource selection to reserve the resources required for the course. The Resource Selection: Overview dialog box appears.
  16. Note

    The following functions are available in the dialog box:

    Change the Planning period, and change the Proposed date using This graphic is explained in the accompanying text and This graphic is explained in the accompanying text. If you selected Period containing no days off, the system automatically proposes periods that do not contain days off (where possible).

    Change the course location.

    Resource types defined as required for the corresponding course type are displayed under Resource requirements. You select resources for the course using the resource types.

    If a resource type is only required for one specific course, you assign it temporarily by choosing This graphic is explained in the accompanying text.

    You can create the relationship requires resource type with the course type by choosing This graphic is explained in the accompanying text.

    Choose Auto resource assgmt if you want the system to automatically allocate resources that are flagged as required to the course (where available). If you want to use this function, select the resource types accordingly.

  17. Choose This graphic is explained in the accompanying text for any resource types you want to reserve manually. The Resource selection dialog box appears displaying details of the actual resources available, such as instructors’ names and details of their availability. There are two possible options.
    1. You can select a resource that you want to reserve for the complete period of the course. Then choose This graphic is explained in the accompanying text.
    2. You can choose This graphic is explained in the accompanying text Detail selection if you want to reserve different resources for specific days of the course or if one of the resources you require is only available for part of the course duration. The Resource Detail Selection; Overview dialog box appears. The individual reservation periods (time blocks) per day are displayed in this dialog box. You can reserve different resources for the different time blocks if required (depending on availability).

Note

The detailed resource selection option is only possible when more than one resource is displayed for selection.

      1. Choose This graphic is explained in the accompanying text. The Resource Detail Selection dialog box appears in which you can select a resource from the list for the period you require.
      2. Select the resource of your choice and choose This graphic is explained in the accompanying text. The Resource Detail Selection: Overview dialog box appears again. This graphic is explained in the accompanying text is displayed behind the reservation time for which a resource has been reserved. Reserve all the resources for the times you require and then choose This graphic is explained in the accompanying text.
  1. Continue choosing This graphic is explained in the accompanying text in the dialog box until you return to the Resource selection: Overview screen.
  2. Repeat the same reservation procedure for each resource type.
  3. Choose This graphic is explained in the accompanying text on the Resource selection: Overview dialog box: The Create Course with Resources: Data Screen is displayed.
  4. Choose This graphic is explained in the accompanying text.

Result

You have created a course and reserved resources for it where available.
