Payment Card Handling
To handle service station sales of products by payment card, SSR allows oil companies to:
· Settle with clearing houses on behalf of service station partners and with fleet card companies directly
· Deduct the amount received from the clearing houses from the amount due from service station partners for sales recorded by meter readings or POS data
· Reconcile credit and Eurocheque card transaction data received from service station partners against data received from another external source
The clearing house object links the clearing house processes to customers, financial accounting, and CO distribution cycles. For more information, see Clearing House.
You have to configure interfaces for receiving payment card data from POS systems or other external sources, and for transmitting transaction data to clearing houses and fleet card companies. For more information, see Interfaces to External Systems.
In Customizing for the Industry Solution Oil & Gas (Downstream), you:
· Define payment card categories by choosing SSR ® Payment Card Handling ® General Settings ® Maintain payment card categories
· Define payment card types at client and company level by choosing:
¡ SSR ® Payment Card Handling ® General Settings ® Maintain payment card types
¡ SSR ® Payment Card Handling ® General Settings ® Assign payment card type to company code
· Create the database tables for holding header and transaction data for each payment card type by choosing SSR ® Payment Card Handling ® General Settings ® Generate DTF objects
· Define clearing house objects by choosing SSR ® Payment Card Handling ® Clearing House ® Clearing House Object ® Maintain clearing house object. You also define certain data in the application itself. For more information, see Defining SD and CO Data for Clearing Houses.
· Define parameters required for the determination of clearing house objects by choosing SSR ® Payment Card Handling ® Clearing House ® Clearing House Object ® Clearing House determination and then each activity
· Maintain validation groups by choosing SSR ® Payment Card Handling ® Payment Card Upload ® Maintain validation groups
In each relevant business location master record, you assign:
· A process control group that includes the settlement or reconciliation processes. For more information, see Process Control.
· Payment card types to locations. For more information, see Assigning Payment Cards to Business Locations.
· A validation group for checking uploaded payment card data. For more information, see Assigning Payment Cards to Business Locations.
· A company code. For more information, see Master Data at the Business Location Type Level.
An interface is provided for receiving payment card data from POS systems. You can also:
· Enter or change payment card data manually if electronic transfer of data is not possible.
· Correct transaction data that is uploaded but rejected for further processing by the validation routines assigned to the relevant business location.
· Define splitting criteria for uploaded transaction data. For example, you can define different clearing houses for specific bank codes in the case of Eurocheque cards. You maintain splitting criteria by choosing:

Payment card transaction data received from POS systems is stored in Detailed Transaction Files (DTFs).
An interface is provided for receiving either detailed or aggregated payment card data from Clearing Houses for carrying out Payment Card Reconciliation. For further information see, Reconciliation of Payment Card Transactions and Interfaces to External Systems.
The fee charged by the clearing house for handling payment card transactions, the rebates credited to fleet card companies and any discounts given by clearing houses and fleet card companies can be integrated into the settlement process.
By defining payment card groups for a payment card type in Customizing and assigning the relevant group to each payment card type at the business location level, you make it possible for pricing functionality to calculate handling fees based on category of business location. You define Location payment card groups by choosing SSR ® Payment Card Handling ® General Settings ® Maintain Payment Card Groups.
In
addition, you can handle discounts granted by clearing houses and fleet card
companies. You can choose to include discount calculations in the settlement
process or accrue them and settle them separately. You define discount
handling by choosing SSR ® Payment Card
Handling ® Clearing House ® Clearing House

Discounts. To
handle discounts, you must create a rebate agreement with the clearing house
or fleet card company. For further information, see

The Service Station Partner Invoicing process calculates the fee charged to the dealer for the handling of sales by payment card, and adds this to the invoice amount.
