Defining Budget Structure Using Budget Structure Templates

Prerequisites

You have created a budget structure template (BS template).

A BS template groups together commitment items with the same object indicator (budget object and/or posting object).

You are not allowed to have created any budget objects or posting objects by defining Budget Structures with Individual Objects.

Procedure

Choose Accounting ® Public Sector Management ® Funds Management ® Master Data ® Budget Structure ® Change.

Enter an FM area and the necessary data and set the Use BS Template indicator.

Year-Dependent Budget Structure

If you want to edit or change a year-dependent budget structure, enter the relevant fiscal year.

Year-Independent Budget Structure

If you want to edit or change a year-independent budget structure, enter a fund, but no fiscal year.

Even if you have defined a Budget Profile for a fund enabling you to use overall values and annual values, you can only define the budget structure for this fund as year-independent.

Editing subhierarchies

If you do not want to edit the whole funds center and commitment item hierarchy, you can enter a funds center and commitment item from which the hierarchy is to be built up. In addition, you have the possibility of Restricting Levels.

Choose Continue.

An overview of the funds center hierarchy is displayed according to the entry point specifications that you have entered.

Assign the BS templates to funds centers.

If you have defined a BS template for several fiscal years, the template used for defining a year-dependent budget structure is either the one for the budget structure's fiscal year or the one for the fiscal year before it. You cannot use templates that are defined for future fiscal years. For examples on this topic, see Budget Structure Template.

You can assign a different template for each fund.

Save the budget structure definition.

Result

After defining the budget structure using BS templates, you must run the Budget Structure: Generate Objects from BS Templates program. Only then can the system construct the budget hierarchy according to your specifications during budget allocation. For more information on this program, see Generating Budget Structures from Templates.

You can display the budget objects and posting objects generated. To do this, choose Budgeting ® Budget structure ® Display. Note that you must not set the BS Templates indicator on the initial screen.
