Prerequisites

You have run a report from the Recruitment component and the report’s output list is displayed.

Note

In most cases, the interactive functions are only available if you access the report from within the Recruitment component. However, in some cases you can also process applicant data when you run a Recruitment report from one of the information systems (for example, the Recruitment information system or the Human Resources information system).

Please note that some of the interactive functions access functions from Personnel Development, which means that you can only perform them if your system is integrated with Personnel Development.

Procedure

If you want to:

do the following:

display all applicants who are assigned to one vacancy,

select an applicant, and choose App.list.

the output list of the Vacancy Assignment report (RPAPL003) appears.

The system displays whether other applicants are assigned to a vacancy, and if so, which applicants.

select all rows of the output list,

choose This graphic is explained in the accompanying text or This graphic is explained in the accompanying text.

display the requirements profile for a vacancy,

select a vacancy for which a requirements profile has been maintained (indicated in the list) and choose Req.profile.

The system displays the Position:Display Profile screen from Personnel Development.

refresh the output list,

choose This graphic is explained in the accompanying text.

call the Job Advertisements report,

select a recruitment instrument, such as a newspaper, and choose Evaluate advert.

The Evaluate Advertisements screen appears.

carry out applicant actions,

select an applicant, and choose Actions.

The Applicant Actions screen appears.

select an action, and choose This graphic is explained in the accompanying text.

The screen for the applicant action appears.

Enter the required data, and save your entries.

create or change applicant master data,

select an applicant, and choose Master data.

The Maintain Applicant Master Data screen appears.

Select an infotype, and choose This graphic is explained in the accompanying text or This graphic is explained in the accompanying text.

The infotype screen appears.

Enter the required data or change existing data, and save the data.

access applicant statistics,

select applicants, and choose App.statistics.

The output list of the Applicant Statistics report (RPAPL005) appears.

The system displays the number of applicants for each vacancy assignment status.

set applicant activities to Completed,

select the relevant applicants, and choose This graphic is explained in the accompanying text Complete activity.

The system sets the activities automatically to Completed.

display details,

select an applicant and choose This graphic is explained in the accompanying text.

send e-mails about planned activities to the persons responsible (such as the person in charge of the activity or of the reference activity),

select the relevant activities and choose This graphic is explained in the accompanying text.

The Planned Activities screen appears, which displays the e-mails that you have sent successfully.

create labels,

choose Print labels.

find a suitable applicant for a vacancy,

select a vacancy and choose Find candidate.

The Personnel Development screen Find Objects for Qualifications appears.

create planned or completed individual activities for one or more applicants simultaneously,

select the relevant applicants and choose Planned indiv.activities or Completed indiv.activities.

create planned or completed mass activities for one or more applicants simultaneously,

select the relevant applicants and choose Planned mass activities or Completed mass activities.

For information on how to proceed, see the section Create planned or completed mass activities under Structure link Create Activities in Bulk Processing (Report RPAPRT07).

change an applicant’s overall status,

select an applicant and choose This graphic is explained in the accompanying text overall status.

The Change Overall Status dialog box appears.

Enter the new overall status and, if required, a status reason, and choose This graphic is explained in the accompanying text.

change the overall status for several applicants simultaneously,

choose Bulk processing.

The report’s output screen displays the required pushbuttons (Reject, Put on hold, and so on).

Select the applicants whom you want to assign the same overall status and choose the new overall status you require (Put on hold, for example).

The Change Overall Status dialog box appears.

Enter the new overall status and, if required, a status reason, and choose This graphic is explained in the accompanying text.

display a short profile,

select the relevant applicant, and choose Short profile.

The Display Text screen appears, which displays the short profile.

display a recruitment instrument,

select an advertisement and choose This graphic is explained in the accompanying text Instrument.

The Display View "Recruitment Instrument": Overview screen appears.

display a position description,

select a vacancy and choose Descrip.of position.

The Position Description screen appears.

access statistics for applicant activities,

select an overall status (such as Contract offered) and choose Activity statistics.

The Activity Type dialog box appears.

Select an activity type (such as Work contract) and choose This graphic is explained in the accompanying text.

The Applicant Statistics screen appears.

change the vacancy assignment status,

select one or more applicants and choose This graphic is explained in the accompanying text Status (vacancy).

The Change Vacancy Assignment Status dialog box appears.

In the Vac.assign.stat field, specify the new status, and if required, enter a reason for the change in status in the Status reason field. Choose This graphic is explained in the accompanying text.

evaluate a vacancy,

select an applicant, and choose Evaluate vacancy.

the output list of the Vacancies report (RPAPL010) appears.

The system displays detailed data on the selected vacancy (such as start and end dates, line manager).

display a vacancy,

select an applicant, and choose This graphic is explained in the accompanying text or This graphic is explained in the accompanying text vacancy.

assign vacancies,

select the applicants you want to assign to a vacancy, and choose Assign vacancy.

delimit a vacancy assignment,

select an applicant and choose Delimit assignment.

The system delimits the vacancy assignment to the current date.

Choose This graphic is explained in the accompanying text.

create or change activities,

select an applicant and choose Activity.

The Maintain Applicant Activities screen appears.

create additional data,
