Use

Once a business event has begun or is given the status firmly booked, you can perform follow-up activities for it, in other words, trigger follow-up processing.

Prerequisites

·        The business event must be in firmly booked status.

·        The business event may not be canceled.

·        The business event may not have a historical record flag (see below).

Features

Follow-up can trigger the following system activities:

·        The business event objectives are awarded as qualifications to the attendee if this has been defined for follow-up processing. The qualification transfer is required for checks carried out for attendee’s prerequisite qualifications when an attendee is booked for an event.

·        The booking record is deleted (relationship 025 between business event and attendee) if this has been defined for follow-up processing.

·        A relationship (relationship 034) is created between the business event type and the attendee if this has been defined for follow-up processing.

Note

You specify the procedure for follow-up processing in Customizing for Training and Event Management under Recurring Activities ® Follow-Up. This procedure defines per business event type:

Whether qualifications are transferred to the attendee

Whether the booking relationship (025) is deleted between the business event and the attendee

Whether a relationship (034) is created between the business event type and the attendee

SAP recommends that you use the first option only. Since both relationship 025 and 034 are evaluated when checking for attendees’ prerequisite qualifications/event attendance, it is not necessary to delete relationship 025 and, at the same time, create relationship 034. You should ensure that both relationships do not exist simultaneously, causing data redundancy. Consequently, you should either DESELECT both options (recommended) or select both.

·        A historical record flag is appended to the business event if you specified this on the initial screen under Additional data.

Caution

A business event with a historical record flag can no longer be changed in any way. Historically recorded business events do not feature in the business event catalog. Historically recording is irrevocable.

·        Confirmation of attendancenotifications are automatically issued for all attendees. You make the required settings for notification output in Customizing for Training and Event Management under Day-To-Day Activities ® Correspondence ® Output control ® Specify user-specific output control.

Note

The above-mentioned actions are only carried out for bookings with normal or essential priority, not for waiting-list bookings.

Result

·        The business event objectives are awarded as qualifications to the attendee (if this has been defined for follow-up processing in Customizing or in the Procedure infotype).

·        The relationship between the business event and the attendee is deleted.

·        The relationship between the business event type and the attendee is created where applicable.

·        Confirmation of attendancenotifications are automatically issued for all attendees (normal or essential priority).

·        The business event is historically recorded where applicable.
