Material Entry With MM Integration

You can enter consumed material for medical and nursing services with material consumption documentation. If material consumption documentation is executed with Materials Management (MM) integration, functions of the materials management component are also used.

You can only enter material for medical and nursing services whose status is Performed or Confirmed.

Prerequisites

Material consumption documentation with MM integration requires that the Material Consumption Documentation with MM Integration has been set up.

Features

Material consumption documentation with MM integration provides the following options for entering and managing consumed material:

You select the materials from the MM material master.
You can define a hierarchy in the sense of an input help. The hierarchy definition supports an efficient selection of the material desired.
You can define a material proposal for a service dependent on the performing organizational unit (OU).
You can document material scrap (e.g. in the course of an x-ray admission, three x-rays are taken; two x-rays are unusable due to their quality).
You can document the batch number of a material by accessing the appropriate MM data.
If a material is subject to inventory management, the system books consumed material as goods issue in warehouse stock. For this purpose, the Warehouse Indicator indicator must be set in the material master.

Activities

You select the material entry from one of the following work stations of the clinical system.

In the clinical work station, you select the Consumed Materials function or you use the hotspot of the Consumed Material column in views of the Outpatient Clinic/Service Facility or Medication Events/Inpatient Nursing Services view type.
As part of service entry and subsequent service entry you select the Cons. Material function.
In the surgery monitor, you use Material Entry for main surgeries or secondary surgeries or for anesthesia anchor services.
In the surgery work station you select the relevant surgery task for the main surgery, secondary surgery, or for the anesthesia anchor service.
If the Material Documentation Required indicator is set on the Med. Indicators tab page in the service master of a radiological service, the system will start the mateiral entry for the Perform Service or Release Service functions.

If you call the material entry using one of the above work stations, you will access one of the following screens:

You can transfer material from one material proposal to the material entry on the Material Proposal screen. For more information, see Material Proposal Structure.
You enter the required material for a service on the Enter Consumed Material screen. For more information, see Enter Material Consumed.

The organizational unit-related parameter (OE parameter) MMINTABL controls which screen is to be displayed.

Exit Material Entry

You have to exit the material entry so that the system can bill the material and book it out of warehouse stock according to Customizing in the materials master.

The material entry is always completed in the service facility with the release of the service. The service release sets the service status to confirmed.
In the OR area, the material entry is exited using the Exit Material Entry function. See Material Entry in Surgery.

The institution-related, time-independent system parameter N1QUTIME controls up to which point in time a change to material consumption is possible. If a change is possible after exiting the material entry, you can cancel material that has already been entered and enter further material. The system will take the changes into account for billing and for booking out from the warehouse stock in accordance with Customizing in the material master.

Cancel Material

You can cancel material in the Enter Consumed Material screen. Canceling material after exiting the material entry is possible within the period defined by system parameter N1QUTIME. If you cancel material after exiting the material entry, the system will automatically cancel any generated service for clearing in SAP Patient Management and any created material document.

It is also possible that material is canceled during the cancellation of another object.

Example Example

You cancel a confirmed medical service in a view of the Outpatient Clinic/Service Facility view type in the clinical work station. A material has been entered for the service. When you cancel the service, the system cancels the material.

You should note the following when a material is canceled in the course of the cancellation of another object:

The material is displayed as selected in the Cancel screen for the cancellation of the service.

If you remove the selection of the material in the Cancel screen and complete the cancellation procedure, the system will automatically cancel generated services in SAP Patient Management. Since these services are services from SAP Patient Management, no further dialog box will appear.

If you keep the material selection and a material document exists for the material, the system displays an error message. The cancellation can only be continued after the material is canceled. You have to cancel the material using the material entry. When the material is canceled, you can then cancel the object.

Canceling the material is no longer optional if the case is also canceled as a result of the object cancellation. You cannot remove the selection for the material in the Cancel screen.

Taking Case Revision into Account

Using the Reassign Visit function, you can reassign movements from one case of a patient to another case of the same patient. During this process, the system takes into account material which has been entered for the services of the movement being processed.

Material that does not have a material document is reassigned automatically by the system. The automatic reassignment is also performed for any generated services for clearing in SAP Patient Management.

If a material document exists for the material, the system displays an error message. You have to cancel the material in order to complete the reassignment of the movement. You cancel the material using the material entry. After reassigning the movement, you have to re-enter the material.
