The documentation work station provides a fast and comfortable way of completing all your documentation tasks.

Only the outpatient documentation work station is supplied in SAP Ambulatory Care Management with IS-H as a departmental variant. It is only possible to use supplied work stations, you cannot define your own work stations.

The outpatient documentation work station maps work situations (e.g. consultations, WCA initial treatment) together with their tasks and provides necessary information tailored to the situation. The functionality and structure of the various components has been conceived so that it provides the best support for typical outpatient treatment situations with a duration ranging between only a few minutes to several hours. You can use it to chronologically map the tasks connected to an outpatient visit, you should use treatment pathways from the Pathways module for longer term treatments in the outpatient area.

In order to be able to work with the documentation work station, at least one patient must have a situation assigned. A patient can have several situations assigned simultaneously, however, only one situation can be processed in the documentation work station at a time.

You can also assign a situation to several patients simultaneously. It is possible to open the documentation work station with several patients who all have the same situation.

Situations contain information on the composition of the documentation work station (displayed information, function buttons) as well as the type and quantity of tasks to be processed.

The appearance and behavior of the documentation work station is generally determined using situation templates. Situations are defined in template management (see Template Management in Documentation Work Station) and saved as templates. They are available to the user following activation.

Implementation Considerations

In i.s.h.med the progress documentation is available, in addition to the outpatient note and outpatient clinic folder functions, for entering and displaying notes concerning the treatment progress of a patient. If you configure the i.s.h.med progress documentation, you replace the outpatient note and outpatient clinic folder functions. For more information, see i.s.h.med progress documentation.

Access to Documentation Work Station

The documentation work station can only be opened from the clinical work station. A corresponding view type must exist, which satisfies the requirements of the application environment. For the outpatient documentation work station this is the Outpatient Clinic/Service Facility view type.

Columns for the Documentation Work Station in the Outpatient Clinic/Service Facility View Type

  • Open Situations

    If at least one incomplete situation is assigned to the patient the icon - (-) is displayed in this column. If exactly one situation is assigned, the use of the hotspot opens the outpatient documentation work station with this situation, which can then be processed. If several open situations are assigned, a selection dialog appears. You open the outpatient documentation work station with the desired situation by double-clicking on the situation.

  • Open Tasks

    If there is at least one open task in an open situation the icon - (-) is displayed in this column.

    If there is only one open situation, clicking branches directly to the DWS to process this task.

    If several open situations exist, you click to access the Select Situation screen.

    • The icon - (-) identifies assigned situations which have not yet been processed. The Open Tasks column is empty as no open tasks can exist in non-processed situations.

    • The icon - (-) identifies situations which have already been processed. You open the documentation work station with this situation by clicking the icon.

    • The icon - (-) identifies situations with open tasks.

    Double-clicking on a row also opens the documentation work station with this situation.

  • Responsible Occupational Groups

    If responsible occupational groups were entered for individual tasks in template management, these are displayed as text. An occupational group is displayed if it is responsible for at least one open task in at least one situation.

Functions for the Documentation Work Station in the Outpatient Clinic View Type

You can use the following functions for one or more selected patients.

  • Assign Situation

    You receive a proposal list of suitable situations depending on the organizational unit, case type, and visit type. The composition of the proposal list corresponds to the specifications which were made in the template management for situations. If the proposal list is empty or contains no suitable situations, you can display all available situations using the icon with the quick info text Display All.

    Using Information (Information) you can display an information area. If you then select the available icon - (-), the information stored for the situation is displayed.

    You assign a situation to the patient by double-clicking on it. Assigned situations are displayed in the Open Situations list. If a situation has not yet been processed, you can undo the assignment. When the information area is displayed, you can view processing information on the situation.

    You can create a note on the situation for any assigned situation. As situations may be deleted following processing, you should not write treatment notes here, but purely organizational notes. Notes created here can be viewed and edited in the documentation work station.

    Following the assignment to a situation you can double-click on the situation to access the documentation work station. Alternatively you can return to the clinical work station once you have made the assignment.

    If this dialog is opened with several selected patients, the situation is assigned to each of these patients. Double-clicking on the assigned situation opens the documentation work station with all selected patients with the corresponding situation.

    The order dialog is also available as a subscreen in the Clinical Process Builder and can be assigned to any number of variants. It is not possible to open a situation for processing directly from the Clinical Process Builder.

  • Edit Situation

    • Single patient is selected

      You access a selection dialog which contains a list of all situations assigned to the patient. Again, an information area is available here. Double-clicking on an assigned situation opens the documentation work station. If the required situation is not yet assigned, you can use Assign Situation (Assign Situation )to additionally open the proposal list.

    • Several patients are selected

      The system only displays situations which are assigned to all of the selected patients. As a situation can be assigned to a patient multiple times, the number of suitable situations is also displayed.

      Double-clicking on an assigned situation opens the documentation work station with all selected patients with the corresponding situation.

  • Create Situation

    Using Create Situation Situation (Create Situation) you access the Assign Task Templates screen of the Quick Processing situation, where the system displays all available tasks and profiles. In template management for tasks you determine which tasks are displayed in what structure.

    You can select one or more tasks and give the new Quick Processing situation another label. The new situation is assigned to the selected patient(s) when you save.

    The user-defined situation can only be used once; it is not possible to use it as a template for further patients.
