The time grid in surgery scheduling graphically displays all surgeries which will take place, are currently taking place or have already taken place on one day within a planning object (room).

The time grid also displays available time slots. The time grid is therefore used to display the planned and documented times of the room occupancy of a surgery.

In the time grid the system displays planned surgeries as appointments. The appointments are displayed as in the planning grid with the planned start and end time of a room occupancy. The system displays surgeries which have started, are currently underway and have been completed together with their real documented time and duration. For surgeries which are currently underway the system will display an estimated end time.

The start and end of the room occupancy of a surgery are determined with time stamps defined in customizing. As soon as the time stamp for OR entry is set, the system displays the surgery with this time as the start time. The end time is entered with the time stamp for the OR exit.

Note Note

Each organizational unit (OU) can plan appointments for itself and/or for other OUs. The system provides options for defining which treatment OU or which rooms an OU can access. According to these definitions the time grid displays one or more OUs.

Note that it is not possible to display surgeries for personnel resources.

For better chronological orientation the system displays a horizontal red line (across all planning objects) to indicate the current time.

Note Note

Each time surgery scheduling is refreshed the system will display this horizontal red line again and scroll the planning grid accordingly, so that the system time and therefore also the horizontal line are displayed. IF necessary the system will also scroll into the past. You can use the user parameter N1SSTL to determine the number of minutes before the system time that the system should take into account when displaying surgeries and free appointments in the time grid.

If you do not use the user parameter, the system will start to display surgeries and free appointments at the current system time minus 90 minutes as standard.

You should note that, in a display variant in which the columns display the date and more than one day is displayed, the system will only display the red line for the current day. This can lead to the system displaying the red line across all columns.

The first time you call surgery scheduling the system will only take into account the current time and the user parameter N1SSTL for positioning in surgery scheduling if the initial selection in the worklist or the implementation of Business Add-In N1_PG_GET_START_POS do not enforce different positioning.

When automatically refreshing the progress display in surgery scheduling the system will take into account the refresh interval which you can specify when defining the view of the Surgery Scheduling view type.

You can use the Curr. Time function to specify that the system should refresh surgery scheduling and jump to the current day and current time in the display. However, this is only possible if the current date is available in the display according to the display variant.

You use the time grid to display and monitor the progress of the surgeries of one day.

Structure

The time grid is structured with tab pages, whereby you can toggle between the following displays using the menu or Tab Pages for (Tab Pages for):

  • Date: Day-related display for coordinating the surgeries of several OUs

    The planning grid displays one tab page for each day. Each tab page contains a display of the planned surgeries and free appointments for all planning objects on this day.

  • Organizational unit: OU-related display for planning over several days for each OU

    The planning grid displays one tab page for each OU. Each tab page can contain several days or several planning objects (e.g. rooms).

  • Planning Object: Planning object-related display for planning by room or person

    The planning grid displays one tab page for each planning object. Each tab page can contain several days and several OUs.

    Note Note

    You should note that you can only toggle between the listed presentation modes if you do not use display variants. A display variant is available for exactly one presentation mode.

In order to provide a surgery manager/planner with a good overview of the status of surgeries of one day and enable him to quickly react, for example to potential delays or emergency surgeries which must be inserted, the system displays the surgeries according to their status with the background colors you defined.

You can define different background colors for different statuses (e.g. "Planned Start Delayed" etc):

To be able to display appointments, the process flow and any delays correctly, you must therefore determine times for events (e.g. Enter OR) and background colors for possible surgery statuses (e.g. planned).

You should note that emergency surgeries cannot be planned and cannot therefore reach the status for the plan and delays.

For appointments the system will use the standard color settings of the planning grid if no other colors are defined.

All times (time stamps) can indicate status transitions. In surgery scheduling the time stamp which was set last is always the deciding factor for the current status of the surgery.

Example Example

You have planned a surgery and allocated an appointment for it. Before the surgery is started you can set times for events in surgery scheduling. For example, you can set the time of OR entry for the start of a surgery.

If the system time is after the planned start of a surgery, but this has not yet been started, the planned start of the surgery is delayed. The process flow start is delayed if the surgery has started but began later than planned.

If the surgery has not yet ended (e.g. OR exit has not yet taken place) but the planned end has already passed (e.g. system time is already after the planned end), the planned end is delayed. The process flow end is delayed if the end of the surgery (e.g. OR exit) took place later than planned.

You can use the organizational unit-related paramater (OU parameter) N1PTDLY to define tolerances in minutes, within which a deviation from the planned value does not result in a status change.

Display Surgery Appointment Information

If you position the cursor on a surgery appointment, the system displays the following information on the selected appointment:

  • Start and end time of the appointment

    The room entry and room exit times and the provisional end time of surgeries which have already started

    The movement start time for movements which are not surgery movements

  • Patient's Name

  • Any services ordered for the appointment

  • Delays in minutes in a separate area, divided into

    • Delays relating to the start time

    • Delays relating to the end time
