Function documentationOrder Template Administration

You can create or edit template groups with one or more order templates. Note that the name of the template group must be unique within the institution.

Note Note

Order templates can be used to quickly create orders for common therapy requests with minimum input effort.

End of the note.

In order templates you can also use special requests, i.e. drugs which are not on the in-house list.

Example Example

Chemotherapy drugs are not on the in-house list, as they do not belong to the drugs which are "routinely available". However, it should still be possible to use order templates for mapping chemotherapy profiles, which must then also contain the special requests inserted in the therapy plan.

End of the example.

When you create an order template, you create a medication order without patient or movement-related data. This prefilled order serves as a template when creating orders for patients.

If you later select a template group to create orders, the system uses all order templates of this template group to create patient-specific orders.

You can also create order templates from one or more orders already entered in the system. The system copies the order data into a new order template group with corresponding order templates, but without transferring the patient and movement-related data. You can change the data transferred from the order in the order dialog.

Note Note

The function for creating order templates from existing medication orders is available in views of the Medication Orders View Type in the clinical work station.

Additionally, the Transfer to Template function is also available in the order dialog and in order processing of the documentation work station. You can use this function to transfer an entered order as a new template in a new template group to be created. The function opens the template group maintenance function, enables the processing of the templates created from the order and, after processing, returns you to the order dialog or the documentation work station.

End of the note.

The following transactions concerning order templates and template groups are available:

  • Transaction N1ME_TMPL: You access the order dialog for creating or editing the order templates of an order template group from the SAP Easy Access screen under Start of the navigation path Clinical Next navigation step System Next navigation step Basic Clinical Data Next navigation step Medication Next navigation step N1ME_TMPL - Manage Templates End of the navigation path.

  • Transaction N1ME_TMPA: From the SAP Easy Access screen under Start of the navigation path Clinical System Next navigation step Basic Clinical Data Next navigation step Medication Next navigation step Order Templates Next navigation step N1ME_TMPA – Manage Template Assignments End of the navigation path you can now only manage the organizational assignments to order template groups. It is possible to make assignments to organizational units (OUs) and to users.

You can also set the Automatic User Assignment for New Group indicator on the Assignment tab page in the user-specific presettings, by means of which the system automatically assigns a new order template group to the user creating the group.

Features

The following tab pages are available for managing order templates:

  • Sliding Dose tab page

You can also use sliding doses in the order templates. You can therefore provide generally valid treatment sequences which require a sliding dose as order templates. See Sliding Dose

  • Template Group tab page

On this tab page, enter or edit information which belongs to the template group. This tab page shows the same data for all templates of a group.

    • Restrictions determined here apply to the whole group (for example, restrictions by gender or age).

    • You can determine the behavior of the template group. You can therefore determine whether the template group can only ever be ordered in its entirety or only individual templates of the group can be ordered, or whether it should be possible to order the entire template group and optional individual templates.

    • You can determine whether the system should automatically set an open connection when ordering several templates of a group. You can customer-specifically evaluate this connection type.

  • Group Assignments tab page

On this tab page you can maintain clinical assignments for indications, diagnoses, and problems to order template groups. These assignments apply to the entire template group.

  • Template Data tab page

On this tab page you can allocate a separate name for each order template of the template group.

  • Ingredients tab page

This tab page is available for mixed drugs as well as standard infusions, standard nutritional solutions and standard compounds. Here you can define the precise recipe of the mixed drug.

  • Flow Rates tab page

This tab page is available for infusions and nutritional solutions. Here you can define the flow rate sequence for subsequent orders for each order template of the template group.

  • Special features in the compressed view of the template group dialog

In the compressed view of the order template dialog you enter the essential information on the individual templates of the template group.

    Note Note

The dose calculator is also available for order templates, but without patient-related data. However, if you have supplemented patient-specific data in the actual order the system can only calculate the precise dose when the order is actually created. See Calculating Doses for Order Templates

In the Administration, Dispensing and Print Prescription fields you define which purposes the order template may be used for.

In the Purpose field you can determine the order template purpose to be preset if the template can be used for several purposes and the order template qualifies in the drug search, although none of the order purposes of the template corresponds to the order purpose searched for.

    End of the note.

    Note Note

You should note that the purpose of the order template must match the indicator for the administration, dispensing or printing of a prescription. This means that the Administration purpose belongs with the Administration indicator and the Dispensing or Print Prescription purpose belongs with the Dispensing or Print Prescription indicator.

If you use a day cycle as the cycle for an order template, you can define dosages with and without time information in the Dose field of the template in the subsequent parentheses (e.g. 1 ( ) – 0 ( ) – 1 (23:00)).

    End of the note.

    Note Note

Note that the system replaces the undefined time information of an order template with the OU times configured in the system for medication rounds when converting into an order.

Time delay In the compressed order template row you can enter a time delay in the Start Delay and Time Delay Unit fields. This means that you can create order template groups where the order templates start at time intervals relative to each other which you can define.

If you wish to order order templates from this group together, the system will preset the start time of the order template which has the smallest time delay with the system date and the system time (depending on the relevant organizational-unit specific and user-specific presettings). All other order templates receive a later start time relative to the time delay.

    End of the note.

    Note Note

If you have set the Fixed Time Delay indicator for the order template group, the system will also automatically adjust the times of the other transferred templates of this group when you reschedule an order of the group. You should note that this rescheduling is only possible as long as the orders have not yet been saved.

    End of the note.
