 Role Determination

Use

Determination of clarification cases

  • Whose attributes are defined under the responsibilities for the role, and

  • To which the accounting clerk is assigned, whether directly or indirectly (for example by belonging to an assigned organizational unit).

Integration

Roles are determined on a user-specific basis (in other words depending on the current user) and in conjunction with the information defined under responsibilities.

Example Example

Processing of a given clarification worklist refers to the role Clarification clerk for <Payment lot item>.

User Chow calls up worklist processing. In the organizational structure, Ms. Chow is assigned to the small amount processing department. This department processes clarification items from payment lots up to 1000 EUR. The responsibility for items up to 1000 EUR is assigned to the role in the "small amount processing" department. During role determination, the system uses this information to ensure that accounting clerk Chow receives only those clarification items of up to 1000 EUR for processing.

Role determination using Responsibilities

To determine roles, the system evaluates an assignment table in which the Organization management objects (jobs, positions, user, organizational units) are each assigned to the different role parameter versions. This assignment table is created when you define roles.

Role determination without result

During role determination, it is sometimes the case that the current accounting clerk is not identified as the valid clerk. This is the case if role determination:

  • Runs erroneously and does not return any result (erroneously defined role)

  • Produces a list of accounting clerks, but the clarification items are not assigned to the current clerk, meaning that this clerk cannot process any clarification items.

If either of these two situations arise, check your definitions.
