Sales Quantity Plan Processing for a Media Issue

Use

You can use this function to define the planned delivery quantities for a media issue manually or have the system calculate them based on methods defined beforehand, check and refine the forecast result, and make delivery corrections.

The function uses a view that is aggregated at media issue level and for each phase model, and the planned delivery quantities are distributed between the contract items that belong to this media issue using predefined methods. Alternatively, you can check and refine the planned quantities at contract item level. You can display current stock information so that this can be taken into account in planning. You can extend or restrict the distribution list for the selected media issue. You can carry out planning with reference to events and create or select an event for this purpose.

Prerequisites

You have made the settings for the sales plan and carried out all the activities under the following nodes in Customizing for Press Distribution under Start of the navigation path Sales Planning Next navigation step Sales Plan End of the navigation path :

  • Planning Structure

  • Planning Organization

  • Calculation Methods

  • Quantity Planning Views

You have defined the sales key figures and indicators and carried out all the activities in Customizing for Press Distribution under Start of the navigation path Sales Planning Next navigation step Sales Key Figures End of the navigation path and Sales Indicators .

There are quantity planning records in the system for the corresponding issues.

You have determined the supplying plants for all the contract items for the media issue (for more information, see Delivery Network for Media Issues ).

You have selected the Media Product Planning Group and Product Group for Calculation in Sales Planning indicators in the sales planning profile for the media product. You have updated the characteristics of the contract items for the sales quantity plan for a media issue. Execute Selection

To edit the sales quantity plan for a media issue, enter the following selection criteria:

  • Select the media issue for processing by issue, publication date, or copy number using the corresponding tab pages.

  • Choose the quantity plan version you want to use.

    Note Note

    The system uses the active quantity plan version 000 for order generation. If you want to use an alternative quantity plan version, copy it to the active version.

  • Choose the planning organization.

    If you are assigned to several planning organizations and you have not specified one or there is no default entry on the Organizational Data tab in enhanced selection (symbol with quick info text Display Selection ), select a planning organization in the dialog box that now appears.

  • You can also restrict the work area by specifying further organizational data ( Enhanced Selection ).

Planning View and Loading Method

After executing selection, you define the planning view and the loading method as follows:

  • If the planning view is not unique (and therefore selected automatically), double click on the desired planning view to select it.

    Example Example

    If you want to use events in sales planning, choose a planning view for which the Process Events checkbox is selected.

    If you want to change the distribution list in sales planning, choose a planning view for which the Change Distribution List checkbox is selected.

  • Loading methods are used to determine the historical sales key figures and indicators for reference issues. The loading methods are assigned to the planning views defined in Customizing. You specify whether a loading method is preselected when you define it in Customizing. Double click on the loading method you want to use to select it.

Aggregated View and View of Contract Items

You can edit the planned quantities in the aggregated view and then distribute them between the corresponding contract items. Alternatively, you can check and refine the planned quantities for individual contract items.

According to the standard settings, aggregation is performed for each media issue and phase model. You can define the aggregation settings in Customizing.

Example Example

To keep an overview of the delivery quantity at a certain plant, you perform aggregation at plant level. To this end, you have defined the plant as an aggregation field in Customizing.

To display the contract items in the Contract Items view, double click on an aggregated record whose contract items you want to display in the aggregated view. You can also select one or more aggregated records and choose the symbol with the quick info text Display Contract Items. The system marks the corresponding aggregated records with a green check symbol ( Record Selected ) and displays the corresponding contract items.

Alternatively, you can use filters when displaying the contract items (as described below).

The Contracts column displays the number of contract items that are grouped for each aggregated record.

To switch between the aggregated view and the contract items, choose the symbol with the quick info text Change/Display.

Changing Planned Delivery Quantities

The delivery status of the contract items indicates whether or not you can change the planned delivery quantities:

Symbol (status)

Green light (no order generated, no delivery)

Possible but changes should not reduce the quantity so that it no longer covers the amount already delivered

  • Manually

    You change the contract fields in the aggregated view or the view of contract items manually:

    • Aggregated View

      Once you have changed the planned quantities, you must distribute them between the contract items (disaggregation). You have defined disaggregation methods in Customizing for this purpose and implement company-specific formulas for distributing the aggregated quantities.

      To distribute the aggregated quantities, choose a disaggregation method from the Distribute Quantities dropdown menu. The system distributes the aggregated quantities between the contract items according to this method.

    • Contract Items

      If you have checked and refined the planned quantities for the contract items, you can update the corresponding aggregated quantities. To do this, choose the symbol with the quick info text Calculate Quantities . When you save or switch to the aggregated view, the system automatically updates the corresponding aggregated quantities.

  • Calculation Method

    As an alternative to manual processing, you can also use calculation methods to recalculate the planned quantities for the contract items that belong to an aggregated record and have the system refresh the planned quantities for the aggregated record. To do this, the calculation methods must be defined in Customizing, implementing company-specific formulas.

    Select one or more aggregated records or contract items and choose a calculation method from the Select Calculation Method dropdown menu .

Select Filter for Contract Items

To process specific planned quantities (for example, all contracts in which a reference issue is sold out), you can use filters to limit the number of contract items displayed. You define these filters in Customizing and can structure them in a hierarchy.

You can select one or more lines in the aggregated view and choose Contract Item with the quick info text Choose Filter.

You can also choose Contract Item with the quick info text Choose Filter at contract item level. In this case, the filters apply to all the contract items and you can use several filters one after the other to iteratively reduce the number of items displayed.

Double click on the filter in the overview tree, which has the same structure as the filter hierarchy and is displayed in the dialog box that now appears. The system displays the contract items.

Note Note

A loading method can be a prerequisite for a filter. In this case, you can only use the filter if you have selected the appropriate loading method.

Make Delivery Corrections

You can make delivery corrections to contract items that have already been delivered and whose quantities you can no longer change (see Processing a Phase Model for Delivery Corrections ).

Edit Distribution List

To increase or reduce the number of points of sale for a media issue, you edit the distribution list.

Note Note

You can only edit the distribution list in the quantity planning view if you have selected the checkbox for the planning view for editing the distribution list in Customizing.

  • Extend Distribution List

    Choose the symbol with the quick info text Extend Distribution List . Choose a supply reason for extending the distribution list. The system extends it. Specify the planned delivery quantities for the sales quantity plan records for extending the distribution list.

  • Restrict Distribution List

    Select the contract items and choose the symbol with the quick info text Restrict Distribution List. Choose a supply reason for restricting the distribution list. The selected contract items are not supplied for this media issue.

Special Functions for Processing Contract Items
  • Undo Changes

    You can undo your changes to the planned quantities for the contract items. To do this, choose the symbol with the quick info text Undo Changes .

    Note Note

    Please note that you can only use this function if the planned quantities have not been aggregated again.

  • Export to Constant Service

    You can export the planned quantities for contract items to the constant service. To do this, select one or more lines and choose the symbol with the quick info text Export to Constant Service. Make the required entries in the dialog box that appears and confirm your entries.

  •  Import from Constant Service or Forecast

    You can import the planned quantities for contract items from the constant service or the forecast. To do this, select the relevant lines and choose Import from Constant Service or Import from Forecast in the Import Functions dropdown list.

Displaying Stock

You can display current stock information. Choose the symbol with the quick info text Display Stock . The system determines the stock, taking the relevant storage locations and stock types into account.

Processing Events and Using Them in Sales Planning

If the Process Events checkbox is selected for the planning view, you can take events into account in planning.

  •  Create Event

    • Choose the symbol with the quick info text Create Event . For more information, see Processing Events .To assign the event to the media issue, choose Transfer Event in event processing.

    • You can enter the event quantity in the aggregated view in the sales quantity plan and distribute it among the contract items. Alternatively, you can enter the event quantity for each contract item. When you save the sales quantity plan, the system determines the percentage quantity changes initiated by the event and assigns the contract items to the event.

  •  Select Event

    • Choose the symbol with the quick info text Select Event . The system executes the Display Events function and displays all the events that match the selection criteria in the hit list. Select an event and assign it to the media issue.

    • Choose the Contracts tab. Check the percentage quantities planned for the event. Choose the symbol with the quick info text Transfer Event . The system transfers the percentage quantity changes from the event to the contract items.

    • The system transfers the percentage quantity changes from the event for each contract item. It then adds the resulting quantity changes and displays them as an absolute value in the Event Total field.

  •  Event for Issue

    This function is almost the same as the Select Event function.

    The only difference is that here, the system selects events that are already assigned to the media issue.

  1.   2. Enter a quantity plan version and a media issue and execute selection. If you are assigned to more than one planning organization, choose one in the dialog box that now appears.

  3. The system determines the quantity planning views. If there is more than one quantity planning view, choose one. The system displays the quantity planning records in the aggregated view.

  4. Change the planned quantities in aggregated records (either manually or using calculation methods) and distribute them between the contract items, or check and refine the planned quantities (which you can also do manually or with calculation methods) for the individual contract items.
