Employee Enrolment Reminder Report (RPUFBNREMIND)

Use

You use the Employee Enrolment Reminder Report (RPUFBNREMIND) to generate data on employee enrolments in benefits plans and to remind employees that they have not yet enroled their Flexible Benefits selections. Specifically, you run this report to:

  1. Generate data on the number of:
    1. Eligible employees for specific benefits plans
    2. Employees who have logged onto Employee Self-Service (ESS) for GB FlexBens enrolment
    3. Employees who have enroled in specific plans
    4. Employees who have yet to enrol in specific plans
  2. Send reminder e-mails to those employees who are eligible to enrol in at least one benefits plan but have not as yet enroled.

You can customise the text of the reminder e-mail by specifying a local file which contains your own wording . If no local file is specified, the default text from the SAP standard delivery will be taken as the reminder e-mail text. The default text is as follows:

Dear <&1: employee name >,

We would like to remind you that the open enrolment period for the coming benefits year will close on <&2: date >.

Please ensure that you have made your Flexible Benefits plan selections via Employee Self Service on or before this date.

Report RPUFBNREMIND can be run via ABAP reporting or by using transaction HRFBNREMIND .

Prerequisites

Before running this report, you must ensure that the following have been completed:

  • You have maintained the Logon and Submit date types for the Open Enrolment ESS event in the Benefits Administration IMG step under: Employee Self - Service Define Date Type for Data Analysis in Enrolment Statistics Report .
  • You have maintained the USERID and e-mail address for all employees eligible for participation in GB FlexBens.

To ensure this data is available to report RPUFBNREMIND, you must maintain the subtypes 0001 (USERID) and 0010 (e-mail address) of infotype Communication (0105) for each eligible employee.

  • If the SAP default e-mail text is not appropriate for your organisation, you must have previously created a local TEXT file containing your own wording (with the extension name “TXT''), so that report RPUFBNREMIND can read this file to compose the reminder e-mail. You must also replace the employee name with '&1' and the closing date of the annual (open) enrolment period with '&2' in your TEXT file.

Features

The selection screen for report RPUFBNREMIND has the following features:

Period Group Box

Use this group box to select the period for which you wish to run the report. You can select one of five period options using the radio buttons provided, or enter your own selection dates in the Period fields.

Selection Group Box

Use the Personnel Number field to select your required employees for inclusion in this report. You can also specify additional selection criteria by using the Further selections option.

Additional Selection Group Box

You can further refine your selection criteria using benefit area, adjustment reason, program groupings and benefit plan in the Additional selection group box, using the available F4 or multiple selection options.

You must maintain the selection parameters Benefit area and Adjustment reason in this group box.

Program grouping is a means of identifying a group of employees with common characteristics in order to determine the benefits program available for that group (macro-eligibility) on a high level. The GB FlexBens system sorts employees into first and second program groupings during processing, according to the corresponding feature. The program grouping to which an employee belongs is stored in infotype General Benefits Information (0171).

Mail Text Group Box

Here, you specify your previously created TEXT file which the report will use as the text for the reminder e-mails. If you do not maintain the field File name , the SAP default mail text will be generated by this report.

Output

Report RPUFBNREMIND generates a variety of data and offers the following functions from the report output screen. These are outlined below:

  • Listing of all employees who have not yet enroled in the selected plan(s) or under the selected adjustment reason. The listing displays the following information
    • Exceptions: A yellow traffic light means all of the information required for sending a reminder e-mail to this employee is available to the report. A red traffic light indicates that required information for sending this e-mail mail cannot be retrieved successfully by report RPUFBNREMIND. Double click the traffic light for more information on the status of this employee.
    • Personnel Number
    • Name
    • E-mail Address
  • General statistics on the number of eligible employees for specific benefits plans, employees who have logged onto Employee Self-Service (ESS) for GB FlexBens enrolment, employees who have enroled in specific plans and employees who have yet to enrol in specific plans. This information is displayed above the list described in 1.
  • You can generate reminder e-mails to employees directly from this screen. See Activities step 6, for more details.

The Employee Enrolment Reminder Report (RPUFBNREMIND) is outputted in an ABAP List Viewer (ALV) format. You can also download the report output into an Excel format or to a local file as required.

Activities

  1. Choose the Employee Enrolment Reminder Report (RPUFBNREMIND).

The selection screen for this report appears.

  1. Specify your required report selection criteria using the Selection group box.
  2. Specify any additional report selection criteria using the Additional selection group box.
  3. You must maintain the selection parameters Benefit area and Adjustment reason in this group box.
  4. If required, in the Mail text group box, specify your previously created TEXT file as the default mail text.
  5. Execute report RPUFBNREMIND.
  6. The screen Send reminder to eligible EEs who did not submit enrolment appears.

You can now generate reminder e-mails to employees directly from this screen.

  1. Select the employee(s) to whom you wish to send a reminder e-mail and choose the option Send E-Mail to send a reminder mail to your selected employee(s).

If the operation executes successfully, the traffic light for the employee changes to green.

If any errors occur, the traffic light for the employee changes to red.

Example

You run this report during the annual (open) enrolment period to remind eligible employees that they have yet to enrol, and to inform them when the enrolment period closes.
