Integration with Cost and Project Controlling If you are using Controlling (CO), you can integrate monitoring systems, cost center accounting and order/project controlling with Funds Management (FM).
You can follow business transactions that take place in Cost Center Accounting from Funds Management by activating posting integration for the relevant business transactions.
However, if you activate posting integration, you must ensure that Cost Accounting and Funds Management offer different views of the same business processes. Consequently, SAP would like to point out that actual and commitment data is updated differently in the components Controlling and Funds Management (as a result of the different requirements for internal cost accounting and budget control). Examples include:
Different master data structures
Budget usage (actuals) on due date in Funds Management versus costs on posting date in Controlling.
Budget usage (commitments) on posting date in Funds Management versus costs on delivery date in Controlling.
Administrations where input tax is not deductible must have a gross budget (gross tax amount in Funds Management versus net tax amount in Controlling)
Normally, asset acquisitions are updated in Funds Management, but not in Controlling. Conversely, depreciations are updated in Controlling, but not in Funds Management.
Goods receipts are recorded differently. In Funds Management, you can choose whether or not goods receipts are recorded. In Controlling, goods receipts are normally recorded.
An explanation of the differences between Funds Management and Controlling for individual account assignment elements and a comparison of values is therefore not possible. Consequently, SAP cannot provide a suitable tool to support the user in this case.
In addition to actuals data, you can also integrate CO planning data and primary/secondary cost elements in Funds Management for budget planning/preparation purposes.
For more information on prerequisites, see Integration Cost and Project Controlling: Prerequisites .
You can activate the following CO actual transactions in Customizing for integration with Funds Management:
Transfer costs (RKU1)
Transfer revenues (RKU1)
Transfer CO line items (RKU3)
Actuals activity allocation (RKL)
Manual cost allocation (KAMV)
Overhead assessment for actuals (RKIU)
Overhead distribution for actuals (RKIV)
Periodic transfer of actuals (RKIB)
Periodic supplements for actuals (KZPI)
Order settlement (KOAO)
Order settlement IAA for actuals (KOAL)
Indirect activity allocation (RKIL)
Integration is only possible here if you have not defined any settings in the Customizing of
Public Sector Management
in the IMG activity
Activate Account Assignment Elements
. You should not activate the fund, grant, or the functional area.
For each transaction, you can choose whether integration should be performed statistically or “productively”. Actual integration means that assigned values are recorded in Funds Management. When you make manual postings, active availability control is also performed in Funds Management using the tolerance limits defined in the Customizing of Funds Management. Periodic postings that result from programs such as assessment or settlement are only assigned values; however, no check is carried out by the active availability control. This means that these postings will be permitted even if sufficient budget is not available. You must use manual budget transfers to correct any budget deficits that result. To display the budget deficits, you can run the program to
Display Budget Deficits for Expenditures in the Annual Budget
(RFFMAV03X).
When you update statistically, no assigned values are generated and no check is made using active availability control.
For an example of overhead distribution in Funds Management when posting integration is active, see Example: Posting Integration .
Note
Note that funds centers and commitment items cannot be assigned directly to an account in Controlling, they must be derived from CO objects and cost elements instead. However, you can assign funds and functional areas directly to an account if you activate them in Customizing, under .
