GB Flexible Benefits Enrolment Administration

Purpose

This component provides a number of enrolment functions within the Flexible Benefits for Great Britain (GB FlexBens) system. It allows:

  1. Benefits administrators to enrol employees in core benefitsand standard benefitsplans and make additional benefit offers to eligible employees via Employee Self Service (ESS).

  2. Employees to enrol in Flexible Benefits plans using ESS through their organisation’s intranet.

  3. Employees to display an overview of their enroled Flexible Benefits plans using ESS.

Features

ESS enrolment for GB FlexBens allows you, as an employee, to manage your Flexible Benefits independently online. You have continual access to up-to-date information about your benefits, and any changes you make are immediately effective, subject to the rules of your organisation’s Flexible Benefits scheme.

The ESS enrolment scenario for GB FlexBens provides you with several options:

  1. Via ESS, you can view the core benefits which have been assigned to you, amend the standard benefits offered and select any additional flexible benefit plans on offer. Employees manage their Flexible Benefits options using two distinct ESS enrolment processes:

    Life Event Change Enrolment

    • All available benefit offers will be displayed to you in the Plan Offer Overview section of the ESS screen.

Plan maintenance during the benefits year

During the benefits year, certain life events may mean you need to change your Flexible Benefits package. Providing that an appropriate adjustment reason has been created for you by your Benefits Administrator, you can change the existing benefit levels of your selected benefit plans during the benefits year.

Any changes you make will affect the flexed valueof your benefit choices, and/or the total value of your flex fund.

The standard valueof your benefits choices is not affected by any life event changes, except in the situation where, for example, you have been promoted to a higher salary band during the benefits year, and the standard value of your benefits package has been increased due to this promotion.

The costs of the standard and Flexible Benefits you have selected

If your organisation applies the National Insurance Cost Neutrality principle to your benefit choices, any differences in employer National Insurance Contributions (NICs) produced as a result of your benefit choices will affect your salary. Applying the National Insurance Neutrality principle, if your choices result in a saving in employer NICs for your organisation, this saving will be passed on to you. Conversely, if your choices produce increased NICs, your employer will deduct this increase from you. The Cost Summary option will also display the value of any additions or decuctions from your salary, as a result of the application of the NI cost neutrality principle during your benefits enrolment.

By choosing the Display Salary Detail option, you can view the effects of your benefit choices on your monthly salary by reviewing your Pre-Flexand Post-Flexsalary.

Payslip simulation

You are able to generate a simulation of your payslip by choosing the Payslip Simulation option. This will display a simulation of your payslip from the first payroll period after your benefit choices have become effective. This payslip will therefore reflect the effects on your salary of the benefit choices you make during enrolment.

The payroll results shown during this payroll simulation are an estimation and may differ from your actual results due to possible changes in data between the time of the simulation and the live payroll run.

Dependents and beneficiaries

Options also exist for you to display any dependents and/or nominated beneficiaries you have included within your chosen Flexible Benefits package.
