Life Event Change Enrolment

Use

After you have enroled your benefit choices via annual enrolment within Flexible Benefits for Great Britain (GB FlexBens), you are normally only allowed to make changes to your selections when a so-called life event change occurs, such as marriage, birth of a child, divorce, promotion, demotion, death in a family and so on.

You can make life event changes to your Flexible Benefits choices, outside of the annual enrolment period, by usingLife Event Change Enrolment via Employee Self Service (ESS).

In the current benefits year, during the enrolment period (October 1 to November 30), an employee chooses private medical cover for herself and her partner, which is to be effective for the following benefits year. In the following benefits year, she gives birth to her first child. This is considered a life event change and the employee is allowed to change her benefits coverage level using ESSLife Event Change Enrolment. She decides to change private medical coverfrom Employee + partner to Employee + family

Integration

Life event changeenrolment is integrated with the infotype Adjustment Reasons (0378).

Several existing international Benefits infotypes are integrated with the process ofLife Event Change Enrolment

All health plans are integrated with the infotype Health Plans (0167).

All insurance plans are integrated with the infotype Insurance Plans (0168).

All miscellaneous plans are integrated with the infotype Miscellaneous Plans (0377).

An individual’s Flex fund is integrated with the infotype Credit Plan (0236).

More specifically for FlexBens, the Holiday Plan is integrated with the infotype Absence Quotas (2006), the Company Car plan is integrated with the infotype Company Car (0442), and the Pension Plan is integrated with the infotype GB Pension Funds (0071).

Prerequisites

As an employer, you must ensure that the following prerequisites are met before offering Life Event Change Enrolment via Employee Self Service (ESS) to your employees:

To enable eligible employees to enrol in the FlexBens system, your organisation must have already defined and configured the core benefits and/or standard benefits it wishes to offer its employees. Initially, the Benefits Administration framework is created in Customising, under Benefits AdministrationBasic Settings ; and under Benefits AdministrationFlexible Administration .

You must have previously maintained the specific benefits plans and plan options for each required benefit plan in the Customising steps under Benefits AdministrationPlans .

You must have previously created an adjustment reasonfor the Life Event Change Enrolment. You create adjustment reasons in Customising, under Benefits AdministrationFlexible AdministrationBenefits Adjustment Reasons

Before an employee can use ESS for annual enrolment, a General Benefits Information record (infotype 0171) must exist for the employee and the employee's SAP user identification must be entered on the infotype Communication (0105).

If you wish to make enrolment and confirmation forms for annual enrolment available through this ESS service, you need to set up form printing using SAPscript templates.

Features

Not all benefits you have enroled as an employee are changeable when a life event occurs. The main reason is due to the nature of the benefit and the contract with the provider, which is ultimately affected by the practicality of the change.

The GB-specific Company Car benefit plan can be enroled via a life event change. However, the GB-specific Holiday Buying/Selling benefit plan cannot be changed outside of the annual enrolment period because it makes the annual holiday process more difficult for the organisation to manage.

Outside of the annual enrolment period, when you use ESS to view your current benefits selections, you can only make changes to these plans using Life Event Change Enrolment. This is only possible after the Benefits Administrator has created an adjustment reason for your life event change, as discussed above in Prerequisites .

After the effective date of your life event change, you usually have a certain period of time within which your benefit changes must be made. If you do not make any changes in the designated time period, you must wait until another adjustment reason has been assigned to you, or until the next annual enrolment period to make your benefit plan adjustments.
