Contract Editing

Use

These functions are used to edit contracts.

Integration

They are found in the Sales menu and are available to you on the Business Data screen during creation and modification of contracts. Some of these functions are also available in contract monitoring.

Prerequisites

You have created contracts, entered orders and made all the relevant settings in Customizing.

Features

The following functions for editing the current contract are available to you on the Business Data screen when you create or change contracts:

Edit contracts ( Next contract )

Access the initial screen for creating, changing or displaying contracts and create, change or display the next contract. The initial screen that appears is dependent on the editing mode that you have selected to access the Next contract function.

Choose ContractNext contract on the Business Data screen .

Check contracts

Check whether contracts for the same holder overlap.

This is the case if booking units in the inclusive requirements of the items were linked by the booking unit hierarchy of the Contract discount hierarchy type. The system does not check the exclusive requirements.

Contracts for the same holder can also overlap if two contracts with overlapping validity periods have been created for a booking unit or if a contract for a booking unit has been created for an advertiser and a second contract for 4C ads is created.

You can perform the following checks for contract overlap:

System checks when you confirm the contract data.

Checks by the user when you perform the Check contracts function . Choose ContractCheck on the Business Data screen .

You can stipulate that the system is only to report contracts in which the contract is granted a higher discount in a higher-level booking unit during the overlap check for each sales area. To do so, enter a value of 11 or 12 in the Warning/error for contract overlap field in Customizing under SAP Media ® Advertising Management ® Sales ® Contract ® Settings for Specific Sales Areas ® Make General Settings

The checks for overlap supplied in the reference clients only check contracts for the same contract holder. To change the business partner roles for which contract overlap is checked for each partner determination procedure, choose the following in Customizing: SAP MediaAdvertising ManagementSalesContractTechnical SettingsDetermine Partner Roles for Contract Overlap.

Function exit SAPLJHAD_007 is used to influence the number of requirement elements used during the contract overlap check.

Save contracts

Update data for the contract that has been created or changed and access the initial screen for creating and changing contracts.

Choose ContractSave on the Business Data screen .

Save contracts with assignments to billing datasets (Save when assigning)

Assign advertising services to a contract that were sold before the contract was created. Billing datasets that fall within the contract validity period and do not have an assignment that is granted discount can be assigned to the contract.

Choose ContractSave when assigning on the Business Data screen .

If assignments from other contracts that count towards discount exist for billing datasets, you can retain these using a suitable level of manual influence .

Create contract items

Access the item detail screen and assign an additional contract requirement with the respective rate indicator to the contract.

Choose the New item pushbutton on the Business Data screen or the Insert line pushbutton on the item overview.

During discount determination, the system transfers the first requirement element for the leading item to pricing. If you assign several contract items to a contract, you should ensure that you only assign items that are granted the same discount conditions.

Change contract types and categories

Change the data that you enter on the initial screen when you create a contract. This includes the following:

Best conditions

The contract type defines the discount conditions that you can grant a media customer. The contract category defines the target agreements that can be negotiated with a media customer.

Choose EditChange type/category on the Business Data screen .

You can only change the contract type if no advertising services have been assigned to the contract.

Recalculate contract standing

The system usually updates the contract standing automatically when it imports the contracts. If you have prevented this from happening by making certain Customizing settings, contracts must be updated manually using the Recalculate standing function that is available to you in contract editing:

You recalculate the standing of a contract if a billing dataset has been assigned to a contract but the assignments could not be updated in the database because the contract was blocked during order entry. Since the system cannot update the contract standing, you must update this manually.

You can also recalculate the contract standing during Contract monitoring . Choose EnvironmentPost assignments subsequently on the initial contract monitoring screen .

Create other discount-eligible assignments

Assign advertising services to a contract that have been sold by an involved business partner before the contract was created. You want to enable a contract holder to fulfill their contract.

Contract assignments that are created when you create other contracts, count towards discount or bonus fulfillment but are not granted discount or bonus. Billing datasets, which are assigned to the contract, must have already been assigned to another contract for the same business partner.

Choose EditOther Discount-Eligible Assignments on the Business Data screen .

You can also create other discount-eligible assignments in collective processing when you recalculate contract standings . If the Create Other Discount-Eligible Assignments indicator has been selected, the system executes the EditOther Discount Eligible Assignments function from contract dialog for each contract whose standing is updated.

Contract renewal

Renew a contract with a validity period that has expired.

You do not want to create a subsequent contract manually for a customer who expects to sell the same number of advertising services in the following year as the number sold in the previous year. You want the system to create the contract and use this function as possible entries.

If you have selected the Renew automatically indicator on the Status tab page, the system copies the contract items, values, assigned business partners and sales areas into the subsequent contract.

You cannot renew contracts if they have not been confirmed or if final settlement has not been performed.

Choose EditRenewal on the Business Data screen .

You can also renew contracts in contract monitoring. Choose MonitoringContractsTo be renewed on the initial contract monitoring screen .

Convert contracts (Convert to standard)

Convert system contracts to standard contracts.

The system copies billing datasets that have been assigned to the system contract as assignments in the standard contract. The system contract number is also used to manage the standard contract.

You must specify a target number to be sold before you update the standard contract. You replace the assigned system contract requirement with a contract requirement.

Choose EditConvert to standard on the Business Data screen .

Combine contracts

Combine several contracts for a contract holder and copy contract assignments from one or more contracts into the current contract.

You can use the free selection criteria on the selection screen to restrict the selection of contracts that are to be combined. If you access this function again for the same contract without saving first, the system does not display the selection screen and displays the contract items that were selected previously but have not yet been reassigned.

The system deactivates contracts that have been combined with the current contract

Choose EditCombine contract on the Business Data screen .

Create or change business partner master data

Access the Business Partner Master Data component and create or change the master record for a media customer such as a contract holder or a beneficiary. If you want to change the address of a media customer, choose Central Address Management.

Create or change contact person master data

Access the Sales Support component and assign a business partner to the contract holder as a contact person or change the master data for the contact person.

Determine contracts for the contract holder

You want to determine contracts for a contract holder and display these in a list.

This function has a selection screen and a display screen. The system defines default Business partner and Business partner role selection criteria on the selection screen.

If you do not change the selection criteria, the system determines all contracts for the contract holder.

If you change the selection criteria, the system can determine any contract here. The following selection criteria are available to you:

Evaluations with output generation

The system displays contracts that match the selection criteria specified in a list. The following functions for editing this list are available to you in addition to the standard SAP List Viewer functions:

Choose EnvironmentContract list on the Business Data screen.

Determine group information

Access the group hierarchy to which the contract holder has been assigned and determine all advertising services for which discount conditions can be granted as a result of contracts for the parent group or subsidiaries.

Choose EnvironmentGroup info on the Business Data screen.

Determine billing datasets

Determine all billing datasets that could not be assigned and those where the contract holder performs the advertiser role and create these contract assignments manually. The system defines default Advertiser and Without contract assignment selection criteria on the selection screen.

You can change the selection criteria that are defined by the system. If you create parallel assignments, you can also determine billing datasets that have already been assigned to a contract.

Choose EnvironmentBilling dataset list on the Business Data screen.

Create interim settlements

Determine the overall sales volume and the discount proportion of this overall sales volume that is valid when interim settlement is performed. During interim settlement, the system only determines the bonus share of the overall sales volume if you have selected the Advance bonus indicator in the contract.

If the contract is not fulfilled when interim settlement is performed, the system assumes that the contract holder will achieve the agreed target number to be sold by the end of the contract validity period. The system does not determine a debit memo amount.

If the contract is over-fulfilled when interim settlement is performed, the system determines a credit memo amount.

When creating an interim settlement, the system only considers billing datasets that have already been billed. You must save the interim settlement if you want to update it. Having done so, you can bill the interim settlement.

Create final settlements

Create a final settlement. The overall sales volume and the discount proportion of the overall sales volume are not identified here. The difference between the planned and actual amount is determined as follows:

If the contract is not fulfilled when final settlement is performed, the system creates a debit memo.

If the contract is over-fulfilled when final settlement is performed, the system creates a credit memo.

All billing datasets that have been assigned to the contract must be billed if you want to create a final settlement.

If you create a final settlement in the background, the system updates and bills this automatically.

Change settlements

Change an interim or final settlement that has been created and updated for a contract. You access the most recent settlement that has been created for this contract. This can be an interim or final settlement.

You can change the blocking reason and the blocking date in an interim or final settlement.

You cannot change settlements that have been billed.

Choose EnvironmentChange Settlement on the Business Data screen.

Display settlement lists

Determine all interim and final settlements that have been created for a contract and display these in a list. The system displays the type and status of settlements in the list in addition to the credit and debit memo amounts.

Choose EnvironmentSettlement List on the Business Data screen.

Display contract assignments

Display contract assignments that have been created during contract determination. You want to display which billing datasets can be assigned to the contract with which rate indicators and which advertisers have placed the orders.

The following functions are available to you for editing the contract assignments determined:

Choose the Assignments pushbutton on the Business Data screen .

Create condition lists

Determine contract-relevant conditions and display these in a list. You have defined the report for evaluating conditions in as follows in Customizing: SAP MediaBasic FunctionsPricingPricing in Advertising ManagementContractMaintenance of Condition Lists .

If you only use one report to evaluate conditions, you should assign the report to one sales area as follows: SAP MediaAdvertising ManagementSalesContractSettings for Specific Sales AreasAssignment of Schemas.

If you use several reports to evaluate conditions, you should not assign any reports to the sales area. If you execute the Create Condition Lists function, a screen appears on which you specify the name of the report that you want to execute.

Edit scales

Access dynamic condition maintenance to edit contract-relevant condition types and create new conditions and scales or change existing ones.

Access dynamic condition maintenance to edit contract-relevant output types and create new output records or change existing ones.

Display logs

Determine which conditions are granted discount conditions. You can display the condition record that is valid and a conditionanalysis for a condition.

You can display the condition and control values and associated scales for a condition record.

The system displays the reasons why a discount condition was not granted or a scale could not be determined in a condition analysis.

Display contract standing

Display the current standing of a contract to check whether a media customer has sold the agreed number of advertising services within the defined period.

The system displays the following views of the current contract standing:

Standard view

Group view

Advertiser view

The system displays these views in tables that can be modified for specific users.
