Ad Insert Shipping

Purpose

This process describes the integration of the Advertising Management and Media Sales and Distribution components for ad insert shipping. Differences between the management of insertions and delta coverages are taken into account here.

Prerequisites

Ad insert orders are to be entered in the Advertising Management component. Shipping of these ad inserts is however to be managed in the Media Sales and Distribution component.

You have made the following settings in Customizing for integration between these components:

Shipping of ad inserts that were entered in the Advertising Management component can be managed in the Media Sales and Distribution component.

The item category is relevant to production. This means you can generate issue mixes and deliveries in Media Sales and Distribution for ad insert orders in Advertising Management .

You have entered a value in the Chk AI shp.prep . field.

You have defined when the system informs you that the shipping lead time in the Media Sales and Distribution component is to be repeated and new issue mixes and deliveries generated.

You have created the distribution and shipping master data in the Media Sales and Distribution component.

To maintain a clear overview, this section only describes the settings that are relevant for the shipping of ad inserts. A general description of the distribution and shipping master data is available in the documentation for the Media Sales and Distribution component.

Settings for ad inserts that are inserted

Inserted ad inserts are dispatched with the carrying issues. You can check the delivery viability for the carrying issue when describing the ad insert elements.

Generate issue mixes to assign inserts to the deliveries of the carrying issues for shipping.

Settings for delta coverage

Ad inserts for delta coverage are shipped as separate publications.

The following settings in Media Sales and Distribution master data are of particular relevance for the shipping of ad inserts for delta coverage:

Truck route/edition assignment

You have defined a valid and active assignment to publications of publication type 2 for the truck route affected. Do not enter any publication and edition for this assignment.

Delivery viabilities

You have defined an active and valid delivery viability for the delta coverage delivery type and delivery round in the distribution zone affected.

Unloading viability sets

You have defined an active and valid unloading viability set for the delta coverage delivery type and delivery round in the distribution zone affected.

Shipping

 

Bundling rule

You should create a bundling rule for each ad insert during ad insert shipping.

You have entered and planned ad insert orders in the Advertising Management component.

Ad insert items have not been reserved or placed on the waiting list, schedule lines in the items have not been cancelled, the item category is relevant to production and an ad insert has been assigned to the items.

The system ignores any quantity information that was specified during entry of ad insert orders in the Advertising Management component when it generates issue mixes (insert) and deliveries (delta coverage) in the Media Sales and Distribution component if these issue mixes and deliveries have not been changed or the system is not modified.

Process Flow

Insertion of ad inserts

  1. Generate an issue mix for the issue in which the ad insert is to be inserted for an ad insert order. This involves assigning the insert mix for the existing deliveries to the issue. The system will then set the Shipping started status characteristic in the schedule line status for the ad insert items.

  2. You can perform this step prior to the shipping date.

    Your status concept should ensure that an item can no longer be modified if the Shipping started status characteristic has been set. Ensure that no status characteristic for the schedule line has a value lower than 50 once the issue mixes have been generated.

    You have entered the values 40 (not set) and 60 (set) for the Schedule line published status characteristic and the values 10 (not set) and 60 (set) for the Shipping started status characteristic. The Schedule line published status characteristic can only be set manually in ad insert items. If you generate the issue mixes and do not set the Schedule line published characteristic manually, this characteristic retains a value of 40 and the item can still be changed once the issue mixes have been generated.

  3. Perform a quantity comparison to ensure that the customer can provide sufficient ad inserts.

  5. Define the order deadline for the carrying edition.

  6. Perform bundling and container packing for the planned delivery quantities in the edition.

You perform this step on the shipping date.

Ad inserts for delta coverage

  1. Generate separate deliveries for ad inserts that are shipped separately from a carrying issue to non-subscribers for an ad insert order. The system will then set the Shipping started status characteristic in the schedule line status for the ad insert items.

  2. You can perform this step prior to the shipping date.

    Your status concept should ensure that an item can no longer be modified if the Shipping started status characteristic has been set. Ensure that no status characteristic for the schedule line has a value lower than 50 once the delivery has been generated.

    You have entered the values 40 (not set) and 60 (set) for the Schedule line published status characteristic and the values 10 (not set) and 60 (set) for the Shipping started status characteristic. The Schedule line published status characteristic can only be set manually in ad insert items. If you generate the delivery for distribution and do not set the Schedule line published characteristic manually, this characteristic retains a value of 40 and the item can still be changed once the delivery has been generated for delta coverage.

  3. Perform a quantity comparison to ensure that the delta coverage quantities to be calculated in the ad insert order do not differ from the quantities delivered in Media Sales and Distribution .

  4. The system determines quantities for delta coverage from the difference between the total district planned circulation quantities for the districted to which deliveries were made and the number of ad insert insertions once the issue mixes have been generated.

  5. Perform bundling and container packing for the ad insert planned delivery quantities.

It is not necessary to define an order deadline to manage shipping for delta coverage.
