Creating Gift Transfers

Prerequisites

One of your subscribers (or a subscriber to another publisher in the case of external delivery orders) wants to have his paper sent to someone else free of charge during his vacation. You record this limited subtractive change to the regular delivery as a gift transfer.

The ship-to party for the gift transfer must at least be created with the role General Business Partner in the system.

Note Note

You can create the ship-to party from the change item. If gift transfers already exist for an order item, the system lists the ship-to parties to which these transfers were sent for selection.

If you select the Inactive Items indicator in Customizing for Periodical Sales and Distribution , you can also execute this function if the order item has been terminated or there is an unlimited suspension.

Procedure

  1. Select the item in the item overview or call up the item data on the item to be changed.

  2. Choose Gift or Start of the navigation path Edit Next navigation step Change Functions Next navigation step Gift Transfer End of the navigation path .

    The maintenance screen for the change item appears.

  3. Enter the following data:

    • Period for gift transfer ( Valid from/to )

    • Purchase reason

    • Ship-to party (if necessary, create the ship-to party using the BP button or choose a ship-to party from the selection list provided by the system.)

  4. Confirm your entries.

    The system uses the edition, mix type and delivery type in the delivery viability set or optimization rules assigned. If several delivery viability sets or ship-to party addresses exist in the system, the system displays a dialog box for selection.

  5. Edit the selection dialogs if applicable.

  6. Enter any further data required by the system.

  7. Save the changed order.

Result

During the validity period of the change item, the temporary ship-to party receives the deliveries free of charge; once the change item is over, delivery is made to the original ship-to party again. The gift transfer does not affect billing or payment of the order.
