Managing Files and Folders

On the Files page, you can organize stories, input forms, boardroom agendas, and other content such as uploaded files.

The Files page displays your private files (files that aren't shared with other users), plus folders for Public files and Input Forms.

Sample models and stories are contained in the Samples folder.

Note
Some of the file operations below can be applied to multiple files. You can select the check boxes of several files at once using standard mouse and keyboard combinations such as Shift + Click .
Create Folders to Organize Your Files

Create folders by selecting the (New Folder) icon on the toolbar.

Note
You can also create folders when saving a story or Digital Boardroom agenda, by selecting (New Folder) in the Save dialog.
Move or Copy Files

You can make duplicate copies of files by selecting Copy ().

To move files to another folder, select Move To () in the New Folder () menu.

Note
  • Only users who have Full Control are able to move files and folders.
  • The owner of a shared file can change the copy permission of the file for other users. For more information, see Sharing a File or Folder.
  • Team folders can't be moved. They always reside directly under the System level. For more information about team folders, see Creating Teams.
  • In the My Files view, you can copy content in the Samples folder only if you own it, or if the sample content owner has shared it with you with Copy permission.
Mark Files as Favorites

Mark a file as a Favorite by pointing to the file name and selecting the star icon (). Or, you can select multiple files and select Add To Favorites from the (Manage) menu.

You can filter your view of your files to show only your favorites by selecting (Favorites) in the menu bar to the left of the file list.

Deleting Files

Depending on the access rights that have been defined for a file, the Delete option may be active when you select one or more files.

Delete files or folders using the (Delete) icon on the toolbar.

Restoring Files

Deleted files remain on the system for a default of 30 days and can be restored if deleted by accident.

Note
An administrator can change the file deletion time frame in the System Configuration settings. For more information, see Administration.

A (Deleted Files) tab is available in the sidebar for system administrators or users assigned to a role that includes the Manage permission on Deleted Files.

To restore a file, select the file in the Deleted Files tab, and then select (Restore). You will have the option to restore the file to its original location or a new location, and change the file name or description.

Note
Team folders can only be restored to their original locations. For more information about team folders, see Creating Teams.
Renaming Files

Rename a file using the (Edit) icon on the toolbar.

Filtering the File List

You can filter the file list to display only certain types of files, and you can choose to display only files created by or shared with you.

Select the (Filter) icon on the toolbar to display certain file types.

Select All files, Owned by me, or Shared with me to further refine the list.
Note
You can filter your view of your files to show only your favorites by selecting (Favorites) in the menu bar to the left of the file list.
Showing or Hiding Columns in the File List

Choose which columns to keep visible in the file list using the (Show columns) icon on the toolbar.
