Use

You use a filter in a selection schedule. A filter defines which work items are selected. You can define your own filters.

A filter also enables you to define which category the selected work items or the corresponding notifications are assigned to. You can then define specific subscriptions on the basis of the category.

Features

Standard Filter

The following are standard filters, which cannot be modified. These standard filters select the work items from all tasks.

The following table describes the standard filters and how they are usually used in selection schedules:

 

Standard Filter

Description

Typical Usage

ALL_FULL

Selects all work items.

Includes all changes in the organizational structure, which were made since the last selection using this filter.

Used in a selection schedule that runs daily, for example, in the morning, and that selects all work items.

ALL_DELTA

Selected new and changed work items.

Changes in the organizational structure are not included.

In a selection schedule that selects new and changed work items during the day.

 

Activities

Defining Your Own Filter

You have the option of defining your own filter for particular single task steps. You must create your own filters in customer namespaces, in other words, the name of the filter must begin with Z or Y.

You must always define both filters: FULL and DELTA. SAP recommends that you copy the standard filter and then define the single task steps that you want to be selected. You enter the single task steps to be selected as values of the TASK parameter in the Filter Settings view.

The following applies for both filters:

·        You must define the parameter TASK identically for both filters in the Filter Settings view.

·        If you have specified a category in the Filter Settings view, then it must be identical for both filters.

·        In the Basic Settings view, you must specify the FULL filter under Assigned Main Filter for both filters.

For the DELTA filter: You must specify the value X (Yes) for the parameter DELTA in the Filter Settings view.

Cleanup

To run a cleanup, set the Delete Old Notifications indicator. Old notifications that are saved for this filter are deleted. Users then receive notifications for all work items in their SAP Workflow inbox. You may have already received these notifications.

Using Filters

To use a filter, specify it in the relevant selection schedule.

Example

For example, if you want to define your own filters for decision tasks, copy both standard filters and change their names to the following:

·        DECISION_FULL

·        DECISION_DELTA

In the Filter Settings view for both filters, specify the value TS00008267 for the parameter TASK.
