Use

In the context of a planning session and subplan, you can determine that when changing a planning task from one status to another, a global planning sequence you have assigned is automatically executed. Possible uses for this are, for example:

·        You assign a global planning sequence to the status switch from “for approval” to “approved”. This then copies the approved data into a version intended for this purpose.

·        You assign a global planning sequence to the status switch from “new” to “in processing”. This then initializes the plan data with the actual values of the prior fiscal year.

Integration

All those global planning sequences are available that you created in the BW-BPS planning environment.

Prerequisites

A global planning sequence that is assigned to the status switch of a planning task is only executed when you have set the Automatic Function for Status Switch indicator for the planning session. You make this setting in the Customizing the Status and Tracking System under Determine Attributes for Planning Session.

Functions

For every planning task that you define in the context of planning session and subplan, you can determine individually whether a planning sequence should be executed with the status switch of a task. You can define a global planning sequence for every combination of start and end status.

If, in the course of a planning session, the execution of a global planning sequence is triggered by a status switch, the following points have to be observed, according to the specific attribute settings: 

STS_BUNDLE_<Planning sequence>_<Subplan>_<Planning session>

The technical name is used for the name components <Planning sequence>, <Subplan> and <Planning session>.

The assigned planning sequence can contain any planning functions. The system does not check whether the functions contained in the sequence have any connection with the data which is to be edited in the context of the planning task. Therefore, you are responsible yourself for a sensible selection of suitable functions.

Activities

To execute planning sequences with the status switch of planning tasks, proceed as follows:

...

       1.      Choose Business Planning and Simulation Status and Tracking System Customizing from the SAP Easy Access Menu screen.

       2.      Set the desired combination of Subplan and Planning Session.

       3.      Select the option Determine Date, Person Resp., Layouts and choose Execute.

       4.      Choose This graphic is explained in the accompanying text Expand Subtree to expand the hierarchy in the left screen area.

       5.      Double-click on a node whose settings you want to edit.

       6.      Insert a new row in the group frame Execute Planning Sequence upon Status Switch.

Enter the desired values in the From Status, To Status and Sequence columns. The system offers you the possible values using dropdown lists or input help.

       7.      Note that here, the value Any is a placeholder for all possible statuses.. If, for example, you choose Any under the From Status and also under the To Status, the global planning sequence determined is executed upon any potential status switch.

Note

The following rules apply for the assignment of global planning sequences to status switches:

-         At most, one global planning sequence can be assigned to every combination of start and end status.

-         The start and end status cannot be identical (exception: Any).

       8.      Repeat the steps specified if necessary for other nodes of the hierarchy or status switches.

       9.      Save your settings.
