Use

 

You set the date, the planning applications and control reports to be used for a subplan and planning session combination in order to control and monitor the planning process with the help of the Status and Tracking System. The setting for the person responsible can only be made once, when the first planning session is defined. These settings affect all planning sessions within the selected subplan and must not be changed once they have been made. If you do make changes to the person responsible settings in subsequent planning sessions, these changes will affect all planning sessions (even those from before).

The following settings can be made for each characteristic node and affect the planning process in the following way:

      Person responsible: The persons responsible for a subtask within the planning session are either determined by an automatic analysis of the persons responsible for organizational units maintained in the system, or you must assign the subtasks manually. The e-mail address, which you also enter here, is used in the Status and Tracking System to inform the persons responsible about the start of a planning session or about changes in status, or to remind them of the approaching completion date of their planning task with the help of the integrated notification system.

      Time of completion: For each individual subtask within the planning session you specify the point at which it will be completed. The persons responsible for the subtasks see this when they call up the task assigned to them, and can then orient their schedule based on this. Furthermore, you can also activate an option in the Customizing of a planning session in a subplan which allows you to enter the exact time at which the task will be completed.

      Layouts: Here you are able to determine the URL of the planning application and the URL of the control report.

Prerequisites

You have assigned a hierarchy to the subplan. For more information, see Determining a Hierarchy for the Subplan. In addition, Web interfaces must be available which you assign to the subtasks within the planning session.

Procedure

...

        1.      On the SAP Easy Access screen, choose Business Planning and Simulation Status and Tracking System Customizing.

The system displays the initial screen for Customizing the Status and Tracking System.

        2.      Choose a subplan and a planning session.

        3.      Select the Set Date, Person Resp. and Layouts option and choose Execute.

The system shows the screen with the hierarchy assigned to the subplan and the appropriate fields for the settings.

        4.      Choose This graphic is explained in the accompanying text Expand Subtree to expand the hierarchy in the left screen area.

        5.      Double-click on a node whose settings you want to edit.

        6.      Enter the system user name of the person responsible in the Responsible Person field and choose Enter.

The system finds the name and the e-mail address of the person responsible from the system data (if available), and adds the entries into the fields Name and E-Mail. If you want to send e-mails you have to activate the appropriate option in the attribute settings for the planning session and ensure that all persons responsible have maintained their e-mail addresses in their user master data.

Note

Note that addresses entered in the Status and Tracking System are understood to be destination addresses (you can enter more than one e-mail address. Separate them using “;“). However, the system uses addresses in the user master data as sender addresses.

        7.      Enter the planned Completion Date for the subtask. If you are using a completion time, you can also specify a time zone which is valid for these nodes. If you do not specify a time zone the time zone for the person responsible for the corresponding nodes is used, as long as this has been maintained in their user master data. If a time zone has not been maintained in the user master data, the last time zone used for these nodes and this planning session is used, as long as this information is available. If no information on the time zone is available, the time zone for the system is used automatically. Following this logic, you are also able use the desired completion time for all lower-level units of the nodes you have just addressed.

        8.      Decide whether the completion date entered should also apply to the entries which are arranged below the node in the hierarchy that you are currently editing. Choose Pass On to Lower-Level Units/Execute to transfer the completion date entered to the lower-level nodes.

Note

The term “lower-level unit” refers to the case accepted as standard Customizing that the hierarchy assigned to the subplan belongs to a characteristic whose values represent the organizational units of your company.

        9.      In the URL of Planning Application field enter the HTML address with which the planning layout intended for data entry is started in the Web browser. Here you set up which means the persons responsible should use for Web-based data entry and for data display within the planning session in order to edit their subtask. These means are based technically on the layouts of manual planning. The following entry and display tools are supported:

       Web Interfaces that have been created with the Web Interface Builder

       Manual planning with BW-BPS as an application in the SAP Workplace (in this case you use the URL which is used in the role menu at the start of the planning environment)

Note

       You can reduce the amount of Customizing tasks considerably by setting up the layouts for plan data entry using variables with the replacement type "user-specific values", so that every person responsible is offered the relevant value range for planning (for example, the regions, customers, or article groups to be edited by the person responsible).

     10.      Proceed as follows:

·         Specify the URL of a Web interface, if you know it.

·         If not, you can use input help (F4). The system offers for selection those Web interfaces that you have created with the Web Interface Builder.

     11.      From the list, choose the required interface that you want to assign to the particular nodes for data entry.

The system inserts the URL into the input field.

Note

The system only inserts the application-specific part of the URL. The basic URL which is dependent on the current system environment at runtime is determined dynamically on execution. The application-specific part of the URL displayed here is placed first and transferred in this form to the Web browser.

     12.      Decide whether the data entry means specified should also be used for the remaining entries of the same hierarchy level. Choose Copy to All Units of Same Level/Execute to transfer the specified data entry means to this node.

     13.      Enter the HTML address in the field URL of the Control Report with which the desired Web Report of the SAP Business Information Warehouse is started in the Web browser.

Proceed as follows:

·         Specify the URL of a Web report, if you know it.

·         If not, you can use input help (F4). The system provides the reports that you created in the system for selection.

     14.      From the list, choose the report that you want to use as the control report for the respective nodes.

The system inserts the URL into the input field.

Note

The selection of a Web report with the input help is only possible when the BW System it is based on has at least release 3.0A. The system only inserts the application-specific part of the URL. The basic URL which is dependent on the current system environment at runtime is determined dynamically on execution. The application-specific part of the URL displayed here is placed first and transferred in this form to the Web browser.

     15.      Decide whether the Web report specified should also be used for the remaining entries of the same hierarchy level. Choose Copy to All Units of Same Level/Execute to transfer the specified Web report to this node.

     16.      You can name one or more substitutes for the person responsible. Note that substitutes must be entered separately for each person.

     17.      Save the settings.

Result

You have fulfilled all the prerequisites in order to start planning in the current combination of the subplan and planning session. You can test calling up the monitor in the initial screen of Customizing for the Status and Tracking System and send an e-mail to all assigned persons responsible to notify them of the start of the planning session.
