As an authorizer, you can use the Request for Generation Approval or Request for Update Approval window to handle approval requests for generating or updating a document.

Document Details
Requested By

Displays the name of the user who requested to generate or update a document.

Status

Status of the document awaiting approval:

  • Approved – The document has been approved, but the approval procedure is not yet finished. The authorizer or the approval procedure originator needs to save the draft document as a regular document (for document generation) or submit the approved updates into the original document (for document update).

  • Canceled – The approval procedure has been canceled.

    • If the approval request is for generating a document, an authorizer or the approval procedure originator can restore the approval procedure.

    • If the approval request is for updating an existing document, the approval procedure is now finished and the document has been restored to its original state.

  • Generated/Updated – The approval procedure originator has saved the draft document as a regular document (generated a new document) or submitted the approved updates into the existing document.

  • Generated/Updated by Authorizer – An authorizer has saved the draft document as a regular document (generated a new document) or submitted the approved updates into the existing document.

  • Pending – The request for generating or updating a document is still awaiting approval.

  • Rejected – The request for generating or updating a document has been rejected.

Issue Date

When the document is not generated or updated, this field displays the date on which the draft document is created or modified. After the document is generated or updated, this field displays the generation or update date.

Document Draft No.

The document draft number.

By clicking Link Arrow (Link Arrow) of this field, you can open the document draft.

Document Draft Internal ID

The unique internal ID of the document draft which is stored in the database.

Document No.

The number of the generated or updated document.

  • If the approval request is for generating a new document, this field displays the document number after the document is generated, that is, after the document draft is saved as a regular document.

  • If the approval request is for updating an existing document, this field displays the number of the existing document.

Authorization Details
Status

The authorization status, namely, pending, approved, and rejected.

Request Date

The date when the originator sent the approval request.

Template

The name of the template, as defined in the Approval Templates - Setup window.

Stage

The name of the stage, as defined in the Approval Stages — Setup window.

Remarks

Any remarks entered by the originator in the approval request.

Display History

Displays the authorization history.

Answer
Decision

Choose the approval decision, namely, approved, not approved, and pending.

Remarks

Enter remarks for the approval decision.
