You specify business partner settings in user-defined fields only.

Note Note

In SAP Business One, the fields DATEV Account and First Data Entry are available in the business partner master data. To access these fields, choose   Business Partners   Business Partner Master Data   Accounting   Tax  . In the future, these fields will replace the below-mentioned user-defined fields DATEV Account and Initial Entry, respectively.

End of the note.

Prerequisites

The company database to which you have logged on has at least one available user-defined field.

Procedure

Use the   Business Partner   Business Partner Master Data   module to access the entry screen for the business partner master data. If this window is active, the Business Partner Master Data menu entry appears in the menu bar.

  1. To display the user-defined fields, do one of the following:

    • In the menu bar, choose   View   User-Defined Fields  .

    • Use the keyboard shortcut Ctrl + Shift + U.

  2. Configure the following business partner settings:

    • General/All Categories: User-defined fields for the General category are created in the standard system. To ensure that all fields are visible, choose All Categories.

    • DATEV account: Enter a valid sub ledger account number (from 5 to 9 digits) for the business partner.

      Note Note

You can assign the same DATEV account to multiple business partners. This setting is useful if customers and vendors are to be combined under Diverse, since the individual listing would not be relevant.

      End of the note.
      • Sub ledger account numbers are always one digit longer than general ledger account numbers.

      • Customers start with 10000-69999; vendors start with 70000-99999.

    • Initial entry: The system indicates whether this is the initial data export.

      Example Example

In the case of a new business partner, Yes is displayed, as no master data has yet been transferred for this business partner.

      End of the example.
  3. Save your entries.

Note Note

Certain changes to a business partner master data record automatically set the user-defined field BD: Primary input Yes/No to Yes. Since the system automatically exports only new/updated master data, this field serves as an indicator.

End of the note.
