You specify settings for general ledger accounts in user-defined fields only.

Note Note

In SAP Business One, the fields DATEV Account, DATEV Automatic Account, and First Data Entry are available in the G/L account details. To access these fields, choose   Financials   Chart of Accounts  , select the required account, and choose Account Details. In the future, these fields will replace the below-mentioned user-defined fields DATEV Account, BD: Is Automatic Yes/No, and Initial Entry, respectively .

End of the note.

Prerequisites

The company database to which you have logged on has at least one user-defined field available.

Procedure

  1. To access the user-defined fields, choose   Financials   Chart of Accounts  .

    Note Note

The DATEV FI interface for SAP Business One supports the SKR03 and SKR04 standard charts of accounts.

    End of the note.
  2. Make the following settings:

    • General/All Categories: User-defined fields are created in the General category in the standard system. To ensure that all fields are visible, choose All Categories.

    • Check the number of the corresponding DATEV account. The system takes the relevant account number from the selected standard chart of accounts.

If your tax consultant wants to use a different account number, for example, to consolidate the postings from several accounts into one account, you can change the proposed number manually. The account number specified here, and not the one from the standard chart of accounts, is used for the export.

    • Indicate whether an automatic account is involved.

The DATEV accounting software makes automatic tax postings in DATEV automatic accounts. All standard accounts from SKR03 and SKR04 have already been defined with the default settings of the DATEV automatic accounts.

      Caution Caution

All accounts defined as automatic (indicator AM,AV) in the DATEV chart of accounts, must also be created as automatic accounts in SAP Business One. You can make the relevant assignment in the user-defined field BD: Is Automatic Yes/No.

      End of the caution.
    • Initial entry: The system indicates whether this is the initial master data export. A Yes setting:

      • Indicates a new account.

      • Causes DATEV to inform the tax consultant that the account master data is new or was changed.

The master data that is exported is that which is currently stored in the system. You can manually set this field to YES if the account master data has been changed since the last export.

    • Save your entries.

Contact your accountant if you have any queries about new accounts created.

Note Note

All the accounts you use must be assigned to a DATEV account before the first export. This is particularly important if you are using non standard accounts.

End of the note.

Note Note

Certain changes to a general ledger account record automatically set the user-defined field BD: Primary input Yes/No to Yes. Since the system automatically exports only new/updated master data, this field serves as an indicator.
