A snapshot template defines which queries from SAP Business One are included when you create a snapshot for a Microsoft Outlook contact.

The Microsoft Outlook Integration Add-On for SAP Business One provides the following functions for template administration:

  • Editing existing templates

  • Creating completely new templates

  • Creating new templates by duplicating existing ones

  • Deleting templates

  • Installing default templates in additional languages

Prerequisites

You have installed the Microsoft Outlook Integration add-on.

You have the proper authorization for defining snapshot templates.

Procedure

  1. To access the snapshot template administration functions, from the SAP Business One Main Menu, choose   Administration   Add-Ons   Outlook Integration   Define Snapshot Templates  .

    The Define Snapshot Templates window appears.

    To view a snapshot template, you must have authorization to view all queries associated with the template.

  2. In the Language field, the system displays the current SAP Business One language. To view templates assigned to a different language, select the different language in the dropdown list.

    The Templates table displays the snapshot templates that are saved in the database for the selected language. If no templates exist for this language, you can install the default layout files for this language by choosing  Goto   Create Default Templates  in the SAP Business One menu bar. Creating New User-Defined Snapshot Templates
  1. Right-click an existing template and choose Add Row. Alternatively, in the SAP Business One menu bar, choose   Data   Add Row  .

    The Snapshot Templates window appears.

  2. Make the necessary selections and choose the Add button.

Duplicating Snapshot Templates

Right-click an existing template and choose Duplicate Row. Alternatively, in the SAP Business One menu bar, choose  Data   Duplicate Row  .

A copy of the snapshot template is added to the Templates table. The name of the duplicate template is the original name with a sequential number at the end.

Example Example

The name of the original snapshot template is Executive Customer (by Business Partner). A duplicate template made from this template has the following name: Executive Customer (by Business Partner)1. When you create another copy of the original template, it has the following name: Executive Customer (by Business Partner)2.

    Viewing Snapshot Template Properties

    Use one of the following methods:

      1. Double-click the name of the template.

      2. Right-click the template name and choose Properties.

      3. Select the template name and, in the SAP Business One menu bar, choose   Goto   Properties  .

      The Snapshot Templates window appears.

      Deleting Snapshot Templates

      Right-click an existing template and choose Delete Row. Alternatively, in the SAP Business One menu bar, choose   Data   Delete Row  .

      The system removes the snapshot template from the list in the Templates table and deletes it from the database.
