You schedule data synchronization based on any of the following events:

  • When you open or close Microsoft Outlook

  • When you open or close the connection between SAP Business One and Microsoft Outlook

When you schedule data synchronization, you can define the type of synchronization (allows for criteria check or not) and also choose to examine any proposed changes before they are written to the system(s).

Note Note

After you have scheduled automatic data synchronization, it is still possible to start a synchronization run manually by choosing, in Microsoft Outlook,   SAP Business One   Synchronization   Synchronize ...   or Quick Synchronize.

Prerequisites

You have established a connection between SAP Business One and Microsoft Outlook.

Procedure

  1. In Microsoft Outlook, choose   SAP Business One   Default Settings   Synchronization  .

    The SAP Business One - Synchronization Settings window appears.

  2. Check the default settings on any of the following tabs and make any necessary changes:

  4. Choose the Save Settings button.

Result

When the event(s) that you selected occur(s), the systems automatically synchronize new items (calendar appointments, tasks, and/or contacts) according to your default settings.

If you selected Opening Outlook or Closing Outlook and you are not logged on to SAP Business One when the event that initiates an automatic synchronization run occurs, the SAP Business One - Log On window appears. Synchronization will only begin after a successful logon. If you choose Cancel in the Log On window, the systems cancel the automatic synchronization run.
