Use this window to allocate items from bin locations for any documents which involve the issuing of items.

SAP Business One lets you access the window on a row level in the issue documents. To access the window, there are several ways for different issue documents, as follows:

  • Inventory transfer

    • In the Inventory Transfer window, click Link Arrow (Link Arrow) to the left of the quantity in the From Bin Locations field in the row.

    • In the Inventory Transfer window, right-click in the row and choose Allocate Items from Bin Locations.

  • All documents to do with the issuing of items, excluding inventory transfer

    • In the document, click Link Arrow (Link Arrow) to the left of the quantity in the Bin Location Allocation field in the row.

    • In the document, right-click in the row and choose Bin Location Allocation.

    • In the document, place your cursor in the row and press Ctrl + Shift + A.

General Area
Document No.

Displays the number of the document for which you are allocating the items from bin locations.

Row No.

Displays the number of the row for which you are allocating the items from bin locations.

Warehouse Code

Displays the code of the warehouse from which you want to issue the item.

The code is taken from the document row from which you open the Bin Location Allocation – Issue window.

Item No.

Displays the number of the item which you are allocating from bin locations.

The item number is taken from the document row where you open the Bin Location Allocation – Issue window.

Quantity

Displays the quantity of the item you need to allocate from bin locations.

The quantity is taken from the document row from which you open the Bin Location Allocation – Issue window.

Total Allocated

Displays how many items in total you have allocated from bin locations.

The quantity is the sum of all quantities you have specified in the Allocated field in the table.

Remaining

Displays how many items you still need to allocate from bin locations.

The quantity is calculated with the following formula:

Remaining = QuantityTotal Allocated

Automatic Allocation

To let SAP Business One allocate the item from the bin locations automatically, choose the pushbutton and select one of the following options from the opened list:

  • Remaining – The system allocates the remaining quantity from the bin locations in the table if the remaining quantity is not zero.

    The system starts allocating the remaining quantity from the first bin location in the table. If the remaining quantity is greater than the available quantity in the first bin location, the system allocates the rest from the second and the following bin locations.

    Note Note

    When you select any of the following five options, SAP Business One clears the current allocations and re-allocates the item from bin locations according to the method you select.

  • Single Choice – The system allocates the item from bin locations using the single choice method.

    Single choice is a method of allocating items from bin locations when there is only one way of doing so. If there is more than one way to allocate the item, the single choice method is not effective.

  • Bin Location Code Order – The system allocates the item from bin locations according to the alphanumeric order of the bin location codes.

  • Alternative Sort Code Order – The system allocates the item from bin locations according to the alphanumeric order of the bin locations' alternative sort codes.

  • Descending Quantity – The system allocates the item from bin locations according to the descending order of the item quantity in the bin locations.

  • Ascending Quantity – The system allocates the item from bin locations according to the ascending order of the item quantity in the bin locations.

Clear Allocations

To clear all allocations, choose the pushbutton.

Table Area
Bin Location

Specify the bin location from which you want to allocate the item.

In Stock

Displays the quantity of the item physically located in the bin location.

To view the details, open the bin location content list by clicking Link Arrow (Link Arrow) to the left of the quantity.

Available

Displays the quantity of the item available in the bin location.

The quantity is calculated with the following formula:

Available = In StockAllocated

Allocated

Specify how many of the item you want to allocate from the bin location.

To quickly allocate the remaining quantity, place your cursor in this field and do either of the following:

  • Press Ctrl + B on your keyboard.

  • Right-click and select Copy Remaining from the context menu.

Allow Negative Qty

Allows negative inventory of the item in the bin location.

For example, after you select the checkbox, you can allocate 10 pieces of item A from bin location X, even though there are only 5 pieces of item A stored in bin location X.
