The data synchronization default settings on the Contacts tab define which aspects of new contacts in SAP Business One and Microsoft Outlook are synchronized. The settings deal with two main areas:

  • Microsoft Outlook criteria, such as selecting the folder in which synchronization information is saved

  • SAP Business One criteria, such as opting to only retrieve contacts for a specified range of business partners in SAP Business One for synchronization

 

To display the contact-specific settings, in Microsoft Outlook, choose   SAP Business One   Default Settings   Synchronization   and select the Contacts tab.

To save your default settings and use them for future synchronization runs, choose the Save Settings button (at the bottom of window).

Note Note

When you synchronize data using the Synchronize feature, you still have the chance to change the settings for that individual synchronization run.

Structure

The default settings on the Contacts tab are displayed as follows:

MS Outlook Criteria

To set the Microsoft Outlook folder in which synchronization information will be stored, choose Folder.

To have the system select contacts by category (for example, international) during synchronization, select Select Contacts by Category. Then choose Categories and select from the available categories. You can select more than one.

SAP Business One Criteria

Determine which contacts are synchronized. You can synchronize:

  • All Contacts

  • Business partners within a specific range (Business Partners Between)

  • Groups of Business Partners (for example, customers or distributors). Choose Groupsand select from the list of groups defined in SAP Business One.

  • Sales Employees. Choose Employees and select from the list of possible sales employees. The Business One system retrieves all contacts that belong to business partners owned by the sales employees you selected.

If you select Synchronize Business Partners, the business partner master data in SAP Business One is synchronized with the respective contact data in Microsoft Outlook during synchronization.

If you select Synchronize Default Customer (Business Partner Code and Name), the contact in SAP Business One for this default customer are updated during synchronization.

If you do not select any of the above options, the system does not filter the items, that is, all contacts in SAP Business One are synchronized with the corresponding items in Microsoft Outlook.

If you select one or more options, only the items specified by the combination of options are included in data synchronization.

Caution Caution

If you select Business Partners Between and enter the numeric values in descending order, the synchronization function does not work.

Snapshot

Storage path for the snapshots saved with a contact. The field is inactive if the check box Store in Folder is deselected.

To change the displayed path, select the check box Store in Folder, and click to select a different path from the list.
