The data synchronization default settings on the Calendar tab are used to define which aspects of new calendar items in SAP Business One and Microsoft Outlook are synchronized. The settings deal with three main areas:

  • Microsoft Outlook criteria, such as selecting the folder in which synchronization information is saved

  • SAP Business One criteria, such as opting to retrieve only open phone calls and meetings from SAP Business One for synchronization

  • Criteria for both Microsoft Outlook and SAP Business One, such as setting the date range for the appointments to be synchronized

 

To display the calendar-specific settings, in Microsoft Outlook, choose   SAP Business One   Default Settings   Synchronization   and select the Calendar tab.

To save your default settings and use them for future synchronization runs, choose the Save Settings button (at the bottom of window).

Note Note

When you synchronize data using the Synchronize feature, you still have the chance to change the settings for that individual synchronization run.

Structure

The default settings on the Calendar tab are displayed as follows:

MS Outlook Criteria

To set the Microsoft Outlook folder in which synchronization information will be stored, select Folder.

To have the system select appointments by category (for example, key customer) during synchronization, select Select Appointments by Category. Then choose Categories and select from the available categories. You can select more than one.

SAP Business One Criteria

Select any combination of the following options:

  • Open Appointments Only: If you select this option, the SAP Business One system only retrieves open phone calls and meetings for synchronization.

  • Business Partners Between: Enter the values to set the required range of business partners. The Business One system retrieves all calendar records that belong to the business partners in the defined range before synchronization.

  • Sales Employees: Choose Employees and select from the list of possible sales employees. The Business One system retrieves all calendar records that belong to business partners owned by the sales employees you selected.

If you do not select any of the above options, the system does not filter the items, that is, all appointments in SAP Business One are synchronized with the corresponding items in Microsoft Outlook.

If you select one or more options, only the items specified by the combination of options are included in data synchronization.

Criteria for MS Outlook and SAP Business One

In this group box, you set the Date Range for the calendar appointments to be synchronized:

  • All Appointments

  • Future Appointments Only

  • Past Appointments Only

  • Appointment Dates Between: Enter the start and end date for the range.
