Using the ILM Store Browser for SRS-Based Stores
You use the ILM Store Browser
to view all ILM stores (and related store hierarchies) connected to the Storage and Retention Service (SRS)
. The ILM Store Browser
has the following properties:
Displaying store hierarchies (with filter options)
Displaying detailed information for each hierarchy node
Excluding individual resources from further processing (status invalid
).
Editing the list of resource URIs belonging to audit packages (for queries in Retention Warehouse)
You can use the function for creating audit packages to save the resource URIs (URI list) determined for an audit package to an XML file in an exchange directory for editing in the ILM Store Browser
. In the ILM Store Browser
, you can enhance or simplify the list of URIs based on the information that the audit package supplies. After processing the URI list, you overwrite the original XML file. The revised URI list is then available in the exchange directory for use in the audit package.
Note
In ILM stores, archive files are stored as resources with their own Uniform Resource Identifier (URI)
.
In the ILM Retention Warehouse Cockpit
or in ILM Retention Management Cockpit
for administrators, choose .
In the application system, you can also use transaction code ILM_SB
to start the ILM store browser.
To navigate in the store hierarchy or to display the required area of the store hierarchy, you can use the following options:
Select an ILM store
Restrict the display to one type of archive file (ADK archive files, snapshots, references to attachments or print lists)
Display the store hierarchy of a resource URI (which you find in the detailed data of the hierarchy node)
Position on a resource URI in the displayed store hierarchy
To show the detailed data of a hierarchy node - collection or resource (archive file) - click the hierarchy node. The detailed data contains the following information:
Hierarchy node properties such as:
URI
Meaning (the system determines this from the value of the origin
field), for example, collection 010
= Client
Resource size in bytes - only for hierarchy nodes that correspond to a resource
ILM-specific properties such as:
Start and end dates of the retention period
Destruction date
If you want to exclude a resource from further processing in Retention Warehouse, assign the status invalid
to it. In the store hierarchy, invalid resources are flagged with a red X
.
Note
You cannot include the URI of an invalid resource in the list of URIs for an audit package.
In the context menu for the resource or the higher level hierarchy node (for all underlying resources) , choose status .
Enter the reason for the status change as a user-defined text.
Note
You can retrieve an invalid resource by resetting the status invalid
. To do so, choose status and enter your reason for changing the status.
To view the reason for the last status change, choose the status .
If, when you are creating an audit package, you call up the system-generated URI list for an audit package, the system automatically saves the URI list in an XML file and opens it for editing in the ILM Store Browser
.

Open the XML file with the URI list for the audit package (syntax of the file name: <Prüfpaketname><System-ID><Mandant>.xml)
as follows:
On the title bar of the store hierarchy, choose Show URI List Editing
.
On the title bar of the Edit URI Lists
, choose the symbol with the quick info Load URIs from Exchange Directory
.
Select the XML file and confirm your selection.
Edit the URI list as follows:
To include the URI of a resource, or all resources belonging to a hierarchy node, in the list, position the cursor on the resource or the higher level hierarchy node and choose Add Resources
in the context menu.
Note
Alternatively, you can use the mouse to drag and drop a URI from a resource or hierarchy node on the list (in the URI Export
area).
To remove the URI of a resource, or all resources belonging to a hierarchy node, from the list, position the cursor on the resource or the higher level hierarchy node and choose Remove Resources
in the context menu.
Note
Alternatively, you can select the URIs in the list and choose the symbol with the quick info Delete Selected URIs
. Click a URI in the list and position the cursor on the relevant URI in the store hierarchy.
Save the edited URI list to the exchange directory as follows:
On the title bar of URI List Editing, choose the symbol with the quick info Save All URIs in the Exchange Directory
.
Choose the XML file generated by the audit package function and confirm your selection as well as the warning telling you that you are overwriting the file.
The modified URI list is now available for the audit package function.
Note
To document changes to the URI list, you can export the list to an Excel file. To do so, on the title bar of URI List Editing, choose Export All URIs to Excel
.
On the title bar of URI List Editing, choose Delete Files
.
Select the file you want to delete. Choose OK
to confirm.
