Procedure documentationUsing ILM Store Browser for XML DAS-Based ILM Stores

 

You use the ILM Store Browser view all ILM stores (and related store hierarchies) connected to the XML Data Archiving Service (XML DAS). The ILM Store Browser has the following properties:

  • Displaying store hierarchies (with filter options)

  • Displaying detailed information for each hierarchy node

  • Excluding individual resources from further processing (status invalid).

  • Processing and exporting resource URIs belonging to audit packages (for queries in Retention Warehouse)

    You can use the function for creating audit packages to save a list of resource URIs that have been determined to an XML file. You can then use an exchange directory to transfer this file to the ILM Store Browser. In the ILM Store Browser, you can enhance or simplify the list of URIs based on the information that the audit package is to supply. After processing, you can export the list to the original XML file (in the exchange directory). The revised list of resource URIs is then available for use in the audit package.

    In ILM stores, archive files are stored as resources with their own Uniform Resource Identifier (URI).

Prerequisites

  • You have checked whether ILM Store Browser is familiar with the exchange directory used by the audit package function for URI lists.

    To check the path for the exchange directory (export directory), on the title page of the hierarchy view for the ILM Store Browser, in the context menu of the Options pushbutton (top right), choose Start of the navigation path Configuration Next navigation step Configure Export End of the navigation path and ensure that the exchange directory (export directory) has been entered.

  • Optional: In the ILM Store Browser, you have checked the availability of the ILM stores registered in XML DAS (context menu of the Options pushbutton).

Procedure

Starting the ILM Store Browser

In the ILM cockpit that you use, choose Start of the navigation path Services for Execution Next navigation step ILM Store Browser End of the navigation path.

Selecting a View and Filtering the Store Hierarchy (Optional)
  1. To set the required view, choose Change View. You use this pushbutton to switch between the following views:

    • Archive Hierarchy View: All archive hierarchies managed by XML DAS

    • Store View: All physical ILM stores registered with XML DAS and their archive hierarchies

  2. Optional: The following options are available to simplify the complete hierarchy or to navigate within the complete hierarchy:

    • Under Set Filter, choose the type of resource (including the related hierarchy) you want to display, for example, ADK files or ArchiveLink reference.

    • Position yourself on a hierarchy node (collection) or on a resource by entering the related URI (see detailed data).

Displaying Detailed Data for a Hierarchy Node

To show the detailed data of a hierarchy node - ILM store, collection or resource (archive file) - select the hierarchy node.

The detailed data is dependent on the type of hierarchy node. The detailed data shows the following information:

  • Information about the ILM Store (in the store view)

    • HTTP destination (Connection between XML DAS and the ILM store) and URL

    • ILM compliance class for archive files and for ArchiveLink documents (result of the automatic test of the ILM store)

    • Store type (always WebDAV), Standard store (yes/no)

  • Information about the hierarchy node (collection or resource)

    • URI of the hierarchy node and hierarchy schema (hierarchy contents, for example, ADK files or snapshots)

    • Collection type or resource type

      The resource type indicates the type of stored file. The resource type BIN is for ADK archive files.

      The collection type provides the following information:

      • Meaning of the collection (the system determines this from the value of the origin field), for example, collection type 010 = Client

      • Type of collection: Home collection (hierarchy nodes for the ILM store, under which applications can create their own hierarchies) or a collection created by an application (application-specific hierarchy path).

    • Creation date and time, creation user

    • Number of resources contained (for collections only) or size of resources in kilobytes

    • Affiliation with an ILM store

    • Status (displayed only if the status is set to invalid)

  • ILM-specific properties:

    • Value of the origin field

    • Start of retention, expiration date, destruction date, properties or ArchiveLink references

Setting Resources in the ILM Store to the Status Invalid

If you want to exclude a resource from further processing in Retention Warehouse, assign the status invalid to it. In the store hierarchy, invalid resources are flagged with a red X.

Note Note

If a resource is invalid, you can not include its URI in the list of URIs to be exported.

  1. In the context menu for the resource or the higher level hierarchy node (for all underlying resources) , choose Start of the navigation path Exclude Resources Next navigation step Set to 'Invalid' End of the navigation path.

  2. Enter the reason for the status change as a user-defined text.

    Note Note

    You can retrieve an invalid resource by resetting the status invalid. To do so, choose Start of the navigation path Exclude Resources Next navigation step Reset 'Invalid' Status End of the navigation path and enter your reason for the status change. The status 'invalid' is displayed in the detailed data.

Editing and Exporting the List of the Resource URIs for Audit Packages

If you want to call up the list of URIs for an audit package for editing in a function for processing audit packages, the ILM Store Browser opens automatically.

  1. Open the URI list generated by the audit package function (file name with the syntax: <Prüfpaketname><System-ID><Mandant>.xml).

    1. In the context menu of the symbol for options, choose Start of the navigation path Export for Audit Package Next navigation step Edit Export End of the navigation path.

    2. Select the file you want to edit (list of resource URIs) and confirm your selection.

  2. If necessary, use entries from the list of additional resource URIs for the export preview or delete unnecessary URI entries from the export preview.

  3. Choose Start Export.

    Note Note

    Alternatively, you can prepare the list of resource URIs independently of the audit package function in the ILM Store Browser. If necessary, you can export it to the exchange directory with the file name of the list generated by the audit package function.

    1. To select a resource or a higher level collection for URI export, in the context menu of the relevant hierarchy node, choose Start of the navigation path Prepare Audit Package Export Next navigation step Select or Deselect for Export End of the navigation path.

      (To undo the entire selection, In the context menu of the symbol for options, choose Start of the navigation path Export for Audit Package Next navigation step Reset Export Selection End of the navigation path.

    2. To export all selected resources, in the context menu of the symbol for options, choose Start of the navigation path Export for Audit Package Next navigation step Start Export... End of the navigation path.

    3. Confirm additional questions or information, enter the name of the export list (list of resource URIs) and choose Create.

    4. In the same dialog, choose Start Export.

Deleting a File with URIs from the Exchange Directory
  1. In the context menu of the symbol for options, choose Start of the navigation path Export for Audit Package Next navigation step Display Exports... End of the navigation path.

  2. Select the file (export list).

  3. Choose Delete and confirm the prompt.
