You use this function to define the responsibility for staffing and/or candidate management and you can change the role status related to the staffing process.

Prerequisites

You use the staffing process for all roles for which you set the Staffed by Resource Manager via Responsible Organization option for the role type in Customizing for Project Management, by choosing Start of the navigation path Resource Management Next navigation step Basic Settings for Roles Next navigation step Define Role Types. End of the navigation path Only then does the Staffing Process tab become visible for this role.

The staffing and candidate managers are mapped as business partners and assigned to the relevant organizational units (the same as for resources). To do this, an organizational unit is linked to a position by the link A441 for staffing managers or A440 for candidate managers. This position then links the relevant business partner. Make these settings in transaction PPOME. For more information, see SAP Note 731177.

Features

Unlike direct staffing, the staffing process is divided into different phases in which different persons responsible take over the processing of the role. The following table shows these different phases:

Project lead

Enters the initial project parameters.

Enters requirements for roles.

Sets the status of the role to Staffing in Process.

Adds a message to the role (optional).

Staffing in Process

Staffing manager

Takes responsibility for staffing through Staffing Process tab.

Adds a message to the role (optional).

Can make changes to time frame and capacity for existing staffings.

Assigns resources to roles.

Enters a note for each staffing or candidate (optional).

Sets access to the General tab to read-only except for the Vacant field and the project description.

Deactivates the Qualifications and Tasks tabs.

Candidate manager

Takes responsibility for finding candidates through Staffing Process tab.

Adds a message to the role (optional).

Performs resource searches based on new or changed project or role criteria.

Chooses candidate(s) to add to candidate list.

Deletes undesirable or unsuitable candidates.

Enters a note for each candidate (optional).

Staffing manager

Approves candidates and assigns them to the appropriate roles.

Deselects the Vacant checkbox for the relevant role on the General tab.

Staffing Complete

Project lead

Ends the staffing process for the role by setting the status to Staffing Complete.

Saves the entries.

Sets access to all information for this role to read-only access. The project lead can set the status back to In Process.
