Procedure documentationConfirming Tasks

 

You are defined as the person responsible for a task and have started to edit the task or have already completed it. You now want to confirm the task in the system.

Prerequisites

  • You are on the Additional Data tab on the Task or Project screen or you have opened the Confirmation screen.

  • The task has the status Released or In Process.

  • The project type of the current project allows confirmation for tasks.

    Note Note

    You can also confirm times for roles and for the project definition.

  • Time recording using the cross-application time sheet (see Time Recording Using the Cross-Application Time Sheet) is not active.

  • If you want to change the confirmation status for multiple tasks at once, you have made a corresponding entry for area 0013 Additional Feature, setting 0034 Concurrent Status Changes for Multiple Tasks in Customizing for SAP Portfolio and Project Management under Start of the navigation path Project Management Next navigation step Basic Settings Next navigation step Override Default Global Settings End of the navigation path.

Procedure

Confirming Tasks on the 'Dates and Work' Tab
  1. In the structure tree (see Structure Tree) navigate to the task you want to confirm and click it.

  2. Go to the Dates and Work tab.

  3. Enter your confirmation data.

    The system calculates the remaining work from the difference between the planned work (see the Work field) and the time you entered in the Confirmation field. If you want to enter the remaining work manually, set the RemainWork Man.: checkbox.

  4. Once you have completed the task, change to the Basic Data tab and choose the entry Complete from the Change Status dropdown box.

    Note Note

    When you complete the task, the system checks the actual start and finish dates on the Dates and Work tab. If the actual finish date has not been entered, the system automatically enters the current date as the actual finish date. If the actual start date has not been entered either, the system also enters the current date in this field.

    You can specify that the system sets the value for Percent Completion to 100% automatically when you complete a task. For more information, see Dates and Work.

Confirming Tasks on the 'Confirmation' Screen
  1. Select the task(s) you want to confirm in the table and choose Confirm.

  2. Select the task you want to edit. All pushbuttons are disabled until you select a task.

  3. Choose Open Task(s) to view or edit the detail data of the task. For more information, see Creation of Data for a Task.

  4. Choose Open Note(s) if you want to view the notes that are available for the task or if you want to add new notes. For more information, see Notes.

  5. Choose Open Document(s) if you want to view the documents available for the task or attach new documents. For more information, see Documents.

  6. Select at least one task and choose Copy Planned Start to Actual Start or Copy Planned Finish to Actual Finish to copy the planned date(s) (earliest or latest planned date) to the corresponding actual date(s). The pushbuttons Copy Planned Start to Actual Start and Copy Planned Finish to Actual Finish are only active if the Confirmation screen is in edit mode and at least one task has been selected.

  7. Choose Open Task Assignments to view the role or resource assignments for the task. For more information, see Assignment of Roles to Tasks.

  8. Once you have completed the task, choose Complete from the Change Status dropdown box.

    When you complete the task, the system checks the actual start and finish dates. If the actual finish date has not been entered, the system automatically enters the current date as the actual finish date. If the actual start date has not been entered, the system also enters the current date in this field.

  9. Save your changes.

    Note Note

    The system uses optimistic locking for all tasks. This means that the affected task could be changed or opened by another user or session while you are editing it. If this happens, you cannot save and the system discards your changes. You can reload the data from the back-end system to make your changes again.

Confirming Multiple Tasks

On the confirmation screen, you can change the status for multiple tasks at once, provided that the status you want to set is available for the selected tasks. Select the tasks you want to confirm and set the new status for one of them. The system changes the status for all selected tasks, if possible. A corresponding warning message indicates that only tasks with the appropriate status will be changed.

Result

The task is given the status Completed and is confirmed in the system. It no longer appears on the My Tasks view.
