Document Any type of file can be a document. A document can also be saved in different versions so that you can tell when the version was created and by whom.
You can create a document in cFolders using any type of file that is supported by the front-end PC, for example a Microsoft Word or Excel file. When you create a document, you can upload one directly, upload one later, or, if you have activated file storage , upload one from an FTP server. Alternatively, you can import and export documents between cFolders and a back-end system. For more information, see cFolders Back-End Integration .
You can transfer documents, either individually or in a mass transfer , to your PC to work on them and upload them back into cFolders. You can choose whether you want to create a new version or overwrite the existing version with your changes.
You can display a document by choosing the link to its file name. A new browser window is always opened. You can track the first user to access the document in the
Read by
field in the document version details. You can protect a document version by setting the
Write Lock
indicator which sets the version to read-only.
Note
Note that the correct software for viewing documents must be installed on your computer. For example, your browser may be capable of displaying *.JPG files, but you may need additional software for displaying *.DOC files.
Redlining functions are also available for certain file types. For more information, see Engineering Client Viewer .
The documents in a private work area are copies of the corresponding documents in the public area that were made when the private work area was created.
Later changes to the documents in the public area are not automatically transferred to the private work area, meaning that you may not be working with the latest version. To ensure that you are working with the latest version of a document, click the link Display the latest version of file from its origin on the document overview screen or check the content of the document in the public area. If the document has been changed, ask the administrator to send the file to you.
