The Staffing work center provides an overview for project and role staffing and resource assignment. From here, you can also navigate to a fast entry screen for staffing across multiple roles, projects, and resources.

From this work center, you can do the following:

  • Navigate to the fast entry screen by clicking the project or by selecting one or more projects and choosing Open Selected. The Staffing Overview fast entry screen opens. For more information, see Staffing Overview.

  • Navigate to the fast entry screen by choosing Staffing Overview in the Services area.

  • Click the role displayed in the work center to display its details. For more information, see Roles.

  • You can also access detailed information about your projects by selecting the project and choosing Open Details. For more information, see Project Management.

  • Depending on your needs as a resource manager, program manager, or project manager managing several projects, you can save the search criteria for resources and projects as views. To do so, you can toggle between Switch to Favorites and Switch to Views and define and edit your own views.

Prerequisites

  • Your user has staffing manager, resource manager, or candidate manager authorizations on project management project level or on project management role level.

  • If you want to navigate to the fast entry screen by choosing Staffing Overview in the Services area, or if you want to save search criteria for resources and projects as views and toggle between favorites and views, you must have switched on the switch Start of the navigation path 0002 Master Switch Next navigation step 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) End of the navigation path in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Global Settings Next navigation step Override Default Global Settings End of the navigation path.

  • To toggle between favorites and views, you have defined the value setting under Start of the navigation path 0006 User Interface Settings Next navigation step 0020 Default View (RMF = Favorites and RMV = Selection View) End of the navigation path as RMF or RMV in Customizing for SAP Portfolio and Project Management under Start of the navigation path Portfolio Management Next navigation step Global Customizing Next navigation step Global Settings Next navigation step Override Default Global Settings End of the navigation path.

Features

In the header area, you can specify the main parameters for the display of project and role staffing as follows:

Field

Explanation

Start

Specify the date from which the role/demand assignment is to be displayed.

Finish

Specify the date up to which the role/demand assignment is to be displayed.

Period

Select the period in which the staffing is to be broken down.

Unit

Select the time unit in which the assignment for each role is to be made.

In addition, you can use the following pushbuttons or fields to display and define your projects:

Screen Element

Apply

Displays projects for the specified start date, finish date, period, and unit.

Show All Periods

Displays all periods for the duration specified or a maximum of 8 periods as default.

Favorites or Views

Allows you to choose a favorite or allows you to choose a view if you have switched on the switch Start of the navigation path 0002 Master Switch Next navigation step 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) End of the navigation path.

Add to Favorites

Allows you to add selected projects to a favorites list. When you select at least one project in the table and choose Add to Favorites, a dialog box appears where you can save your selections.

Edit Favorites or Edit Views

Allows you to edit your favorite list or allows you to edit your views if you have switched on the switch Start of the navigation path 0002 Master Switch Next navigation step 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) End of the navigation path.

Search Options - Search

Opens the basic search dialog box.

Search Options - Advanced Search

Opens the advanced search dialog box.

Switch to Favorites or Switch to Views

You can toggle between Switch to Favorites and Switch to Views if you have switched on the switchStart of the navigation path 0002 Master Switch Next navigation step 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) End of the navigation path.

Open Selected

Displays the selected projects on the Staffing Overview fast entry screen.

Open Details

Displays details for the selected project.

Recalculate

Recalculates the icons based on the latest role demand and role assignments.

The table below the header area displays the following:

Column

Explanation

Project

Lists the projects for the staffing manager. Click the name to open the Staffing Overview screen.

Project Number

Displays the technical name of the project.

Role

Lists the roles for the staffing manager. Click the name to open the role detail screen.

Total for Period

Displays the total of the assignments made for the project, role, and resource during the set period, which is specified in the Start and Finish fields.

Periods

Displays the periods for which the assignment can be made. The duration of the periods corresponds to the period breakdown specified above, that is, month and week. A maximum of 8 periods is shown as default. Click Show All Periods to display all periods.

Status Icon

For each project, the following status icons are displayed:

  • Not Staffed

  • Partially Staffed

  • Over Booked

Activities

You can perform the following steps:

  1. To open the work center, choose Start of the navigation path Resource Management Next navigation step Staffing End of the navigation path.

  2. To specify one or more of the above parameters, select a date in the Start and Finish fields and press Enter. The date range is applied automatically in the table.

  3. If you also want to change the period or unit, enter the settings and choose Apply.

  4. When you have finished working with your projects, click Save.
