Monitoring Archiving and Deleting
Jobs
Use
This procedure shows you how to monitor the current status of process instances that are qualified and sent for archiving or deleting by the system or the administrator.
You can only monitor instances that are currently being processed, or instances that have been archived. Upon successful deletion, instances are no longer visible.
Prerequisites
· You have the appropriate rights to use the Administration workset.

Roles
● You have configured the XML Data Archiving environment for Java applications.
● You have scheduled the regular performance of the archiving and deleting tasks in Administration → General → Schedule Tasks.

Procedure
To monitor archiving and deleting of process instances, open the Administration workset and choose Archiving and Deleting → Monitor Archive Jobs from the contextual panel.
Defining Filter Conditions

To start a search for process instances marked for archiving or deleting, you have to define filter conditions first:

Enter values for: · Show by Last – for last instances processed · Show by Period – to specify a fixed period within which these instances have been processed |
Role of the user |
Select a role from the Role dropdown list box. |
User name |
Enter a user name in the User field or choose Browse and perform the routine search. |
Viewing Selected Instances

1. To view your selection, choose Show.
All instances that match the search criteria are displayed in the list. The view shows process instances with their:
○ Instance Title
○ Template Title
○ Status (see the table above)
○ Last Status Change Date
○ Last Status Change Time
○ Type (depending on process completion status)
2. To narrow the search results in the list, you can filter process instances based on their completion status. Set one or more of the following indicators:
○ Display Completed
○ Display Erroneous
○ Display Terminated
3. To view details for a specific process instance, select it from the list.
Details appear below. The Details screen contains the URI of the instance and all process roles with their corresponding users assigned.
Result
You can now keep track of the archiving and deleting jobs performed by the system.
You can also monitor archived instances with the GP Monitor tool in SAP NetWeaver Administrator.
