Prerequisites

You have created user groups in User Group Maintenance.

Procedure

  1. On the initial User Maintenance screen, enter a user ID for a new user.

    This value must be unique within the site. You cannot change the user ID for a record once you save it.

    Note Note

    Users log into the system with the value in the Login ID field. You can change the login ID for a record once you save it. The system writes the user ID, not the login ID, in activity records used for reporting.

  2. On the Main tab page of User Maintenance, enter the required information about the user. The following table describes fields requiring explanation:

    Field

    Description

    Short Name

    The user's alternative name

    The system uses the short name when display space is limited, for example in reports. The maximum length is 6 characters.

    Status

    The user's status:

    Active: Allows a user to log on to the system with this user ID

    Inactive: This user is temporarily inactive

    Terminated: Prevents a user from logging on to the system with this user ID

    Employee Number

    The user's employee number

    Enter a value if you use the Labor Tracking component and have specified Employee Number in the ID for Clock-In/Out field in Labor Rule Maintenance (see Labor Rule Maintenance).

    Badge Number

    The user's badge number

    Enter a value if you use Labor Tracking and have specified Badge Number in the ID for Clock-In/Out field in Labor Rule Maintenance.

    Login ID

    The value the user enters in the Login ID field when logging on to the system.

    Leave blank to allow the user to log on using the value in the User ID field. The maximum length is 30 characters.

    Recommendation Recommendation

    While you cannot change the User ID value for a record once you save it, you can change the Login ID value. Therefore, we recommend that you specify a value in this field.

    Password

    The user's password

    The user uses this password to log on to the system. The maximum length is 30 characters.

    Confirm Password

    Enter the same characters you entered in the Password field.

    Force Password Change on Initial Login

    If selected, requires the user to change the initial password when the user logs on to the system for the first time.

    Historical Password Count

    The number of the user's previously used passwords that are stored to prevent reuse

    Appears greyed out when the LDAP service is enabled

    Note that the previously used passwords cannot be reused when the user changes the password.

    E-Mail Address

    The user's e-mail address

    The system uses this value for sending event messages. The maximum length is 120 characters.

  3. On the User Groups tab page, add the user to one or more user groups.

  4. Save your entries.

    As you work with additional features of the system, you can retrieve this user account and add information on the remaining tab pages. For more information, see the following procedures:

Result

The system allows this user to log on with the information you specified. Once the user has logged on, the system displays only those activities that you have given the user access to in the Activity Manager.
