 Distributing Annual Values to Several Periods Locate this document in the navigation structure

Prerequisites

In Customizing for Funds Management, you must have assigned a budget profile for the active FM area by choosing Assign budget profile to FM area . Here Annual values and Period values should be activated.

If you want to distribute the annual budget using a distribution key , you can define a distribution key in the budget profile. The distribution key then appears in the budgeting transactions as the default value in the budget structure element overview and can be overwritten if required.

Hierarchy Maintenance Procedure

  1. Enter the required data on the initial screen but no period.

  2. You reach the budget structure element overview in which the annual view is displayed. The distribution key stored in Customizing is displayed as the default value and can be changed.

    If budget structure elements have already been budgeted using a distribution key, distribution key "0" is displayed for these elements.

    You reach the period view by choosing   Goto   Period values   . You can display the budget already distributed per period by choosing Next period and Previous period . You can also distribute budget to an individual period in this mode. For more information, refer to Distributing Annual Values to Individual Periods .

  3. To distribute budget values for an element using the distribution key, enter a budget value and the required distribution key in the annual view for the budget structure elements.

The system automatically distributes the budget value to the individual periods in accordance with the distribution key.

If you want to distribute the annual value manually to individual periods for a budget structure element (distribution key = 0), select the element and choose   Goto   Period overview.   You reach the Period Overview screen on which you can distribute the budget to individual periods.

Procedure for Entering/Distributing Budget

  1. Enter the required data on the initial screen but no period.

  2. You reach the list screen in which the annual view is displayed. The distribution key stored in Customizing is displayed as the default value and can be changed.

  3. To distribute budget values for an element using the distribution key, enter a budget value and the required distribution key in the annual view for the budget structure elements.

  4. The system automatically distributes the budget value to the individual periods in accordance with the distribution key.

  5. Save your entry.

Note Note

If you enter a period on the initial screen, the distribution key in the budget structure element overview is not ready for input. The system then puts the new budget values into the period entered when you save.

Result

Allocating the budget to periods is only for statistical purposes. You can display budget utilization according to period in reporting if you create a corresponding drilldown report with the key figures for the period budget.

Active availability control, however, always checks against the annual budget.
