  Invitation

Definition

Activity category that classifies correspondence activities to which letter templates are assigned; these templates contain an invitation to a qualifying event or a request to complete a questionnaire. Each of the activities in the Invitation category refers to a corresponding activity in the Qualifying Event or Questionnaire category. This contains the information for the qualifying events or the relevant questionnaire.

Use

Recruiters use these activities to invite candidates to a qualifying event or to send them a questionnaire.

The workflow in E-Recruiting creates activities in this category automatically when the recruiter creates the relevant reference activity (for example, qualifying event). For more information, see Workflow After Creating Activities for E-Recruiting Objects .

Structure

An activity in the Invitation category consists of the following tab pages:

  • Details

    The tab page contains the following information:

    • Status

    • Due on (if status: Planned )

    • Completion Date (if status: Completed )

    • Completed by (if status: Completed )

    • Processor (not if status: Completed )

    • Changed On (only after the activity has been created)

    • Changed by (only after the activity has been created)

    • Reference Activity

      An activity in the Invitation category must have a reference to an activity in the Qualifying Event or Questionnaire category.

    • Letter Template

    • Depending on the Customizing settings (parameter RECFA INDCO, IMG activity Set System Parameters ):

      • Letter changed (indicator)

      • Changeable section of letter template

        The tab page contains the following functions:

    • E-Mail

      You use this function to send a letter to the e-mail address that the candidate stored in his or her profile.

    • Print

      You use this function to print the letter via the SAP spool system.

    • Depending on the Customizing settings (parameter RECFA INDCO, IMG activity Set System Parameters ):

      • Change Letter

        You use this function to open the letter in the Editor. You can customize the letter.

      • Change Letter Section

        You can use this function to customize the changeable letter section that is displayed.

    • Display Letter

      You use this function to view the letter.

    • Reset Letter

      You use this function to undo the changes that you made to the letter using the Editor.

  • Notes

    You can store notes here for an activity.

    If the activity is used in TRM, then this information is available to you and all other recruiters. If the activity is used in the Recruitment process, then this information is available to you and the other members of the support team for the associated requisition and/or application.

  • Attachments

    You can upload documents here.

    If the activity is used in TRM, then this information is available to you and all other recruiters. If the activity is used in the Recruitment process, then this information is available to you and the other members of the support team for the associated requisition and/or application.

  • E-Mail Attachments

    You can upload documents here that you want to send to the candidates with the letter by e-mail.
