Function documentationClaim Validation Using the Validation Sheet Locate this document in the navigation structure

The validation sheet helps you decide whether an account's claim is valid. To this end, the validation sheet contains a comparison of values in table format. The values include those that were agreed upon in a trade promotion (TP) or a market development fund (MDF) initiative, and those that the account lists in the claim. After you have checked the values in the claim, you enter the validated values, which are relevant for settling the claim.

Example Example

A brand owner makes an agreement with her individual retailers that they will place a shelf with five new products directly at the market entrance during the time period of September 17 to September 22. They also agree to set up a monitor advertising the new products during this time. The brand owner has agreed to pay each of the individual retailers a certain amount to carry out this action. Because of the intense interest in the display on the first day of this action, retailer A sets up a second shelf and an additional monitor and also extends the action, running it for an additional four days. This generates additional costs for retailer A, which he presents to the brand owner as a claim. As proof for this claim, he includes an advertisement brochure that includes the dates of the action, as well as pictures of the shelves and monitors. The brand owner enters the amounts listed by the account in the claim into the validation sheet, checks the assertions made by the account, and defines the values that are relevant for settling the claim.

End of the example.

Integration

You use the validation sheet for Claims in the TPM Business Scenario and for Claims in the MDF Business Scenario.

For claims in the trade promotions management (TPM) scenario, the validation sheet takes data from SAP NetWeaver Business Intelligence. For more information, see Integration of the Validation Sheet with SAP NetWeaver Business Intelligence.

Prerequisites

  • You have made the settings in Customizing for Customer Relationship Management under   Claims Management   Validation  .

  • There is one claim for each deduction or one claim for each invoice.

  • For claims for a trade promotion, you have defined one of the following standard scenarios in the header data of the trade promotion in field Validation Profile ID: scenario for single accounts (VS_PROFILE_TPM_SINGLE) or scenario for multiple accounts (VS_PROFILE_TPM_MULTI).

Features

  • Amount comparison

The validation sheet presents the amounts defined in a trade promotion or an MDF initiative in table format. If you start the validation sheet from the edit mode of the claim, you can enter the amounts listed by the account in the claim.

After you compare the agreed amounts and the amounts listed by the account in the claim with your own checks of these amounts, you enter the validated amounts that are relevant for settling the claim.

The following assignment blocks are available for displaying and entering these amounts:

    • Dates

This assignment block is only available for claims for trade promotions. For each time period planned in a trade promotion, you see a row that contains the dates that were defined. You can enter the dates listed by your account in the claim.

For more information about planning in trade promotions, see Additional Date Ranges for Trade Promotions.

    • Causals

This assignment block is only available for claims for trade promotions in the scenario for single accounts and for claims for MDF initiatives.

      • Trade promotion

Depending on the product that you selected, you see the causals for each expense type that is relevant for that product. You can enter the amounts listed by your account in the claim, the amounts that you noted, and the amounts that you have defined for settlement.

      • MDF initiatives

You see causals that were defined in an MDF initiative. You can enter the amounts listed by your account in the claim and the amounts that you have defined for settlement.

    • Volumes and spends

This assignment block is only available for claims for trade promotions in the scenario for single accounts. It allows you to compare the quantities and amounts that were agreed upon in the trade promotion for each product dimension and expense type with the quantities and amounts that the account listed in the claim. The validated quantities and amounts are the values that are relevant for settling the claim.

If you click Transfer to Spends, the data from the upper section (volumes) is made available for further calculations. Then, you can start a calculation by selecting a function in the Functions list box. The result of the calculation appears in the lower section (spends).

    • Spends

This assignment block is only available for claims for trade promotions in the scenario for multiple accounts. In this case, for example, accounts may be individual branches of a retailer that have participated in the action.

You see a hierarchy that starts with the account and contains the product categories, product groups, and products that are assigned to the account. At the lowest level, you see the corresponding spend type. Only one or two of the three product dimensions listed above are shown.

For spend types that are dependent on quantity, you enter the amount listed by the account for the respective expense type for each account, product dimension, and spend type. For spend types that are not dependent on quantity, you enter the values listed by the respective account in the claim for the respective spend type.

      Caution Caution

In the Resolution assignment block of the claim, if you change the status in one row to To Be Approved, Approved, or Canceled, the corresponding row in the Spends assignment block of the validation sheet becomes read-only. In other words, you can no longer change any values in this row.

In the Spends assignment block, if there are higher-level rows that are not read-only above the read-only row, and you enter a value in the higher-level rows, this entry will be distributed proportionally among all lower-level rows, including those that are read-only.

      End of the caution.

      Note Note

Since this display can involve many accounts, you can make settings so that the result list is split into pages, and you can specify how many accounts should appear on each page. For more information, see SAP Note 1125656. The necessary settings for activating or deactivating the function that splits the result list into pages, and for specifying the number of accounts on each page are described after step 14 in the SAP Note. In the standard system, the result list is split into pages (function is activated), with a default setting of 10 accounts displayed on each page.

      End of the note.

For more information about individual fields, see the business user documentation by choosing   Tell Me About...   Generic Functions   Validation Sheet  .

  • Claiming history

In assignment block Claiming History, you see a list of claims that are linked to the same trade promotion or MDF initiative as the current claim.

  • Snapshots

When you save a claim with status Approved or To Be Approved, the system creates a snapshot of the validation sheet. This snapshot contains the current content of the validation sheet. You can view the snapshots by choosing Snapshots. The data cannot be changed.

  • Data transfer to the claim

If you save the validation sheet or return to the claim, data is transferred into the claim and displayed in the Resolution assignment block.

You can influence which fields are transferred from the validation sheet into the Resolution assignment block in the claim in Customizing for Customer Relationship Management under   Claims Management   Validation   Business Add-Ins (BAdIs)   Enhancement spot: Map BI Values to Claim Fields  . You can only edit these fields in the validation sheet and not in the Resolution assignment block of the claim.

More Information

The following factors affect whether you can edit the validation sheet:

  • Status of the claim for a trade promotion or an MDF initiative and the status of the trade promotion

  • Locking mechanism using the logical key
