Template Creation
Purpose
In
order to use activity journals in Activity Management, you need to create a template type
and then assign it to a template. The main
differences between the template and template type are:

You
can assign target groups to the template, but not to the template
type
·
You
can assign product proposals to the template, but not to the template type.
Product proposals are used to identify products discussed with or given to
customers, for example, a pain killing product in the pharmaceuticals
industry.
Note that you cannot use a
template without a template type, or vice versa. You must assign a template
type to the template when you create a new template.
Process
Flow
You
carry out the following during template creation:

Enter a name for the template, and a title for
the activity journal.

Assign a template type to
the template. In order to do so, the template type must have the status Released for Template. When you assign
a template type to a template, the following takes place:

The default fields you
selected in the template type, for example, product priority, product status,
number of samples, everyday low price, are automatically copied to the
template. However, you cannot change these fields in the template. If you want
to change these fields for the template, you need to assign a new or different
template type to the template.

The transaction type and
activity category assigned to the template type are automatically copied to
the template. However, you can still change these for the template, as these
can be different from those in the template type. You can only specify one
transaction type for each template type, but you can specify more than one
category.

Enter a validity period for
the template.

Assign a sales area and
territory hierarchy ID for which the template should be valid. If you leave
these fields blank, the template type will be valid for all sales
organizations and all territory hierarchy IDs.
You can specify a sales area for templates in both
CRM Enterprise and CRM Mobile. However, the corresponding
activity journal is only determined according to the specified sales area in
CRM Enterprise. If you specify a
sales area in CRM Mobile and then
download the activity journal to CRM
Enterprise, it is determined according to the specified sales area in CRM Enterprise.

Specify the transaction
type and activity category for which the template is to be
available.

Assign target groups to the
template. If you leave this field blank, the template appears for all business
partners.

Assign product proposals.
You can enter the products which you want to appear as product proposals
during activity journal execution. These products appear in the activity
journal itself, for example, a particular pain killing product could appear in
the activity journal for employees in the Pharmaceuticals industry.
If you also want to use
partner/product ranges (PPRs), check the flag Use PPR. You can also specify default values
for product proposals and PPRs.

Specifics of CRM
Mobile
The Use
PPR flag is available in both CRM
Mobile and CRM Enterprise. If
you set this flag for a specific template in CRM Enterprise, you can call up PPRs for this
template once it has been downloaded to CRM Mobile. It is only possible to call up
PPRs in the activity journal in CRM
Mobile.

Select the status for the
template. In order to use the activity template for an activity journal, you
need to set the status to Released.
You can delete or modify
templates with the status Released
according to specific criteria. For more information, see The
“Features” section under
Activity Journals.
